The Accounts Receivable Clerk/Specialist reports to the AR Manager and is responsible for providing financial, administrative and clerical services. This includes making collection calls, processing payments (scanned checks, lockbox, credit cards, and wires). The overall scope of the position is to provide excellent service to our customers while managing DSO, collecting funds and performing other accounts receivable task to ensure timely, efficient and accurate due diligence of assigned accounts
Contact customers regarding account/payment status
Maintain detailed account information including accurately notating customer accounts
Respond to customer inquiries (phone, e-mail, etc.) in a timely and professional manner
Maintain files and documentation thoroughly and accurately
Apply payments accurately and research any accounting discrepancies
Troubleshoot open payments and payment application issues
Troubleshoot customer accounts (B2B and Retail), process billing corrections and maintain accurate account information
Troubleshoot Credit Card Chargebacks
Work with Sales, Customer Service, etc. regarding customer account status
Process refunds
Sort and distribute incoming mail
Generate standard collection correspondence, process final payment demand letters and close accounts accordingly.
Process customer invoices and statements
Escalate issues timely and appropriately to AR Manager
Assist in month end closing
Perform other duties as assigned
- Knowledge of accounts receivable, journal entries and general ledgers
- Knowledge of B2B, B2C collection practices
- Knowledge of lockbox, wire, and credit card payment processing
- Ability to maintain a high level of accuracy and integrity in preparing and entering financial information
