Duties and Responsibilities:

Reporting to the CFO/COO and supporting all aspects of the operations, the Ops Asst will develop a very broad perspective about the inner workings of Mi and develop a variety of skills. Certain duties and responsibilities will be one-time short or long-term projects while others will be ongoing. 

Among the Ops Asst ongoing responsibilities will be that of IT Services Coordinator. The related responsibilities do not require technical IT skills, because Mass Insight outsources IT operations (help desk support, purchasing, data security). With the CFO/COO and Outsourced IT, the IT Services Coordinator serves as a member of the IT Administrative Team. The CFO/COO and the IT Services Coordinator ensure that Outsourced IT is meeting the needs of all members of the Mi team. Duties include the following:

  • Maintain IT inventory of hardware and peripherals
  • Coordinate with outsourced IT the fulfilment of employee requests
  • Attend IT strategy meetings with outsourced provider and CFO/COO

Office operations – Teaming with the Administrative & Events Manager, ensure a productive work environment.

  • Maintain neat and organized office environment
  • Handle office-wide packaging and mailing activities
  • Provide support for Mi internal and external events

Support our Director and Deputy Director of Advancement (aka Advancement) with fundraising efforts critical to furthering our mission.

  • Research funders
  • Provide Salesforce data management support (Salesforce is the relationship management software.)

Program Special Projects – As opportunities arise, the Ops Asst may be asked to provide valuable support to our program teams.

  • Schedule and calendar program activities
  • Research proposal opportunities
  • Assemble proposal packages
  • Research professional development and conference programs
  • Prepare expense reports

Other ongoing and one-time activities include the following:

  • Calendar events and meetings for CFO/COO
  • Support HR Director with special projects
  • Support the office’s migration toward a paperless environment
