Job Summary
Clason Point Partners Inc. is looking for several Correspondence Specialists to provide executive level administrative assistant support and quality customer service for a federal contract in Alexandria, VA. The contractor shall manage the day-to-day operations of the office; maintain a professional work environment; arrange meetings, conferences, and video-teleconferencing to include preparing briefings and read-ahead materials, take minutes, and maintain invitations and attendee contact rosters; prepare and edit DoD and agency level correspondence, reports and presentations; organize and maintain files and records; and monitor the Correspondence and Task Management System (CATMS) and Task Management tool (TMT) tracking systems.

Responsibilities and Duties
The Correspondence Specialist position shall provide staffing support to the officer(s): Provide support for all required correspondence actions (e.g., formal letters, memorandum, read-ahead briefing/meeting packages, activity reports, senior leadership reports, and travel/training/personnel documents).
Compose drafts of short notes, internal memos, and formal official correspondence in addition to tracking tasks/actions based on inputs/guidance from senior level staff in the office. The memos and other documents shall follow the DoD standards, as well as the standard established for the office and shall be appropriate for senior-level government officials.
Ensure documents are prepared in the appropriate format; documentation shall be clear, concise, and valid, to also include substantive editing to ensure document organization and quality is within standards. Tasks may include technical writing/editing, editorial consultation, proofreading, or overall documentation review.

•    Maintain/manage the CATMS/TMT task tracking system as required. Maintenance/management of CATMS/TMT includes:
•    Initiate, format, and assign
•    Upload and maintain documents
•    Retrieve and access documents
•    Track and coordinate actions, including documentation of package arrival and departure, and hand carrying packages as required
•    Finalize and closeout actions as appropriate

Qualifications and Skills
•    Minimum two (2) years’ experience with Correspondence and Task Management System (CATMS) or Task Management Tool (TMT).
•    Minimum one (1) year drafting and editing DoD correspondence, briefing slides and memorandum.
•    Minimum one (1) year experience performing responsibilities which include tracking suspense(s), staffing packages, and coordinating actions with both internal and external customers, resolving / de-conflicting issues.
•    Demonstrated ability to write and edit complex information in a clear and concise manner.

Skills & Knowledge:
•    Excellent communication skills: preparation of briefings, editing correspondence, briefing slides, and memorandums.
•    Ability to multi-task in support of Action Officer(s).
•    Ability to establish relationships and contacts and interact diplomatically with high-level internal and external personnel.
•    Proficient in Microsoft Office Suite: Outlook, Word, Excel, Project, and PowerPoint.
•    Demonstrated ability to write and edit complex information in a clear and concise manner.
•    Strong oral and written communication skills.
