Job Summary:
The Project Coordinator works closely with management and field construction teams (internal and external) to manage resources, assign work, adhere to deadlines and to ensure proper invoicing of projects is completed. They support the Project Manager in the day-to-day efforts of running a project. Their main duties include maintaining work schedules and budgets ensuring all deadlines are met for projects. The Project Coordinator role is a data-management support role and office-centered position requiring computer literacy managing and organizing documents, electronic files, navigating databases, and pulling and auditing reports.

Job Responsibilities (Including, but not limited to):
  • Accountable for the overall coordination for Work Orders provided by various customers.
  • Receive and acknowledge work requests from customers.
  • Review all work order requests to determine the appropriate construction work to be performed by verifying dimensions and footages.
  • Function as the primary point of contact for any related issues involving specific work orders.
  • Coordinating and scheduling work to ensure personnel are efficiently employed.
  • Manage all work orders and crew assignments (both in-house field crews and subcontractors) to ensure timely completion while efficiently employing labor and equipment.
  • Track internal project times ensuring that they are met.
  • Follow-up on all incomplete work orders that are awaiting parts/materials to ensure completion.
  • Identify roadblocks to avoid missing deadlines.
  • Have final build-out packages prepared consisting of drawings, and other documents so that work orders can be invoiced to the customer.
  • Communicate job status to Project Manager, VP of Operations, and to customers, as necessary, on project status.
  • Close out work packages.
  • Coordinate invoicing with billing (AR) and Administrative Assistants.

Technical
  • Ability to operate a computer and use various computer programs including Microsoft Excel, Word, Teams, Outlook, Adobe Acrobat, PDF editing and manipulation.
  • Ability to understand WIP (Work in Progress) reporting (managing it daily) and reduce the WIP balance.
    • Increase invoicing milestones
  • Track project completion percentage and invoicing milestone.
  • Be deadline driven.
  • Ability to manage multiple projects simultaneously in various stages of completion.

Desired Skills & Qualifications:
  • Bachelor’s degree in Construction Management, IT, or related field.
  • 1 – 3 years’ experience in telecommunications/construction with related project management experience.
  • Experience using project management software.
  • Ability to learn new systems and databases quickly.
