The Gig In Short:

ENTRE’s VIP Concierge Manager will be responsible for day-to-day operations of the VIP Concierge team in order to provide excellent customer service to our students. The VIP Concierge Manager is a combination of personable and analytical, able to strategize and anticipate future needs, address customer concerns, drive high performance, and provide professional development for their team of VIP Concierge Team members.   

 

Entre’s VIP Concierge service ensures that customers receive a proper introduction to the organization, the community, the services that they’ve purchased, and that their support needs are properly addressed.  They also offer students options to accelerate or improve their student journey in the form of additional services for purchase.  This balance between customer service and revenue generation requires a deft touch and experience in both domains (student success and sales).  

As the VIPC program and ENTRE continues to grow, this role will become one of the most critical positions of leadership inside of the company as you attract, hire, and develop the world’s best student success professionals.

What we want you to do:

 The responsibilities of the VIP Concierge Manager can be broken out into three main categories:

 

Personnel Responsibilities

  • Hire, inspire, manage, and develop a top talent team through regular reviews of VIP Concierge student interactions and 1:1s. Identify/address any individual/team strengths or concerns through training and direct meaning feedback. 

  • Foster team spirit and enrollment in a culture that promotes Entre values

  • Forecast staffing needs (shift coverage, personnel needs, team capacity) and report those needs and data-driven requests to Director of Student Success

  • Balance company and departmental needs with loyalty to their team

  • Maintain lines of open communication with VIP Concierge members, Fulfillment team members and Operations Leadership

 

Procedural Responsibilities

  • Aggregate, report on and ultimately be responsible for team-based KPIs; sales, revenue, refund request reasons, chargeback rates, customer feedback trends, and more.  

  • Track VIP Concierge sales and revenue, and provide the team with opportunities for improving revenue streams

  • Enforce policy and ensure compliance at the team level

  • Monitor team-level projects in ClickUp, executes priority tasks with minimal instruction from the Director

  • Continuously identify key areas and work to optimize processes and/or work with relevant team members to develop documented Standard Operating Procedures

  • Serve as a point of contact for escalated issues; troubleshoot, inform appropriate stakeholders and resolve timely.  This may require calling or emailing customers, other team members, etc. in the most extreme situations to create a positive student experience.

 

Inter-team Responsibilities

  • Set standards for Quality Assurance coders and following up on any QA concerns

  • Attend Leadership Meetings & Events as requested by Director of Student Success

  • Communicate with other teams (Sales, Coaching, Product, etc.) to ensure that student concerns are addressed.

  • Work with Admin/Compliance team to ensure that VIP Concierge Team responses meet compliance standards

  • Remain up-to-date with ENTRE’s products and offerings across teams and relaying that information back to the Concierge team

 

Any additional tasks in line with the role of VIP Concierge Manager.

 

 

What we are looking for and what you have to have:

  • 5+ years of experience customer service management, and or sales management experience

  • Experience managing teams, including scheduling, managing timesheets and overtime, and addressing staffing needs

  • Experience managing non-commissioned sales teams with a track record of consistent team performance

  • Experience providing customer service remotely (phone, chat, email) 

  • Experience developing customer service processes and procedures in a fast-paced, multi-product environment

 
  • Excellent written and verbal communication skills

  • Established record of solution-oriented, proactive problem solving

  • Detail-oriented

  • Able to keep track of multiple projects at one time
