The gig in short:

A VIP Concierge is responsible for supporting the company’s internal needs by working with our students to ensure they receive a proper introduction to the organization, the community, the services that they’ve purchased, and that their support needs are properly addressed. The VIP Concierge will develop the ability to answer most questions before they’re asked – to anticipate the needs of our students, and keep them informed proactively. They will partner with our internal teams to ensure the highest quality of customer experience is met.

What we want you to do:

  • Review each assigned student’s plan and products.

  • Welcome the student and provide an overview of the products, courses, and services they have access to.

  • Provide an individualized experience for each student based on their program and purchases.

  • Have a deep working knowledge of ENTRE’s products and services

  • Stay up-to-date on student plans and offerings

  • Ensure that students have access to all course materials and communities.

  • Schedule any necessary appointments and orientations for the student, including Coaching orientations, assisting with event registration needs, scheduling orientations for software or courses, scheduling with third-party advisors, and any other scheduling the student may need to be successful.

  • Address any student questions or concerns and escalate these concerns when necessary.

  • Contacting clients via phone regarding:

  • Failed payments; reversing credit card declines and uncompleted transactions by attempting to complete sale or downsell

  • Refund requests. While providing refund request assistance, attempting to save and process the sale

  • Chargeback alerts

  • Develop and implement processes to follow up on failed subscription renewals and split-payment concerns 

  • Responding to high-ticket refund requests or high-level customer concerns

  • Interfaces with clients in the case of high ticket chargebacks by collaborating with Billing Specialists, Concierge, and other stakeholders to identify the best course of action

  • Track and submit weekly reports on the status of failed payments and any saved sales

  • Present a professional, confident, and enthusiastic image to develop trusting relationships with all students

Qualifications & Experience:

  • 3+ years of experience with customer service & sales experience as part of an inbound or outbound sales team.  Experience in the digital marketing, education, or coaching industries is preferred

  • Experience in a role or position that involves direct customer support

  • A relentlessly positive attitude. In this position you’ll be dealing with customers who are frustrated, stuck, apathetic, or even upset.  The ability to work with each of them to reset expectations and reorient them towards their goals is absolutely essential. 

  • Excellent listening and negotiation skills

  • Excellent written and verbal communication skills

  • Ability to effectively and efficiently research and resolve issues - critical thinking skills

  • Able to collaborate with multiple teams and work under minimal supervision in a fast-paced changing environment

  • Proactive problem solver with the ability to identify issues and tasks without being asked or notified

  • Excellent written and verbal communication skills

  • Detail-oriented and able to keep track of multiple students/projects at the same time

 

Requirements:

  • Must be aligned with the ENTRE mission, vision, and values. 

  • Must be extremely organized and able to work on multiple projects simultaneously.

  • Must be able to learn, adapt, and implement in a fast paced environment.

  • Must be available to attend various daily and weekly team Zoom meetings.

  • Update department docs by generating reports and gathering data from our CRM system. 

  • Track department projects and initiatives within ClickUp, our project management software.

  • Must have a home/home office space that is professional and quiet, and clear from all distractions

  • Modern computer/laptop capable of operating all necessary apps and programs in order to perform the duties listed above (See Zoom requirements here)
