Program Assistant
Summary:
A Program Assistant provides administrative support and assistance in the planning, coordination, and implementation of programs or projects within an organization. They work closely with program managers and team members to ensure smooth operations and efficient execution of program activities. The Program Assistant handles various administrative tasks, maintains program records, and assists with communication between stakeholders.
Essential Duties & Responsibilities:- Administrative Support: Provide general administrative support to program managers and team members. Assist in scheduling meetings, preparing agendas, and documenting meeting minutes. Manage program-related correspondence, emails, and phone calls. Prepare and maintain program-related documents, reports, and records.
- Communication and Coordination: Serve as a point of contact for program participants and stakeholders, addressing inquiries and providing information as needed. Assist in coordinating and communicating program activities, including internal and external events, workshops, and training sessions. Collaborate with team members to ensure effective communication and coordination of program tasks. Facilitate communication between program staff, participants, and partners.
- Human Resources: Support human resources-related activities as needed. Responsible for overseeing employee relations, recruitment and selection, performance management, training and development, compensation and benefits, and ensuring compliance with labor laws and regulations. Acts as a strategic partner, supporting the organization's goals and objectives while fostering a positive work environment and employee engagement.
- Purchasing / Expediting – Responsible for creating purchase orders, expediting the purchase orders with various vendors/suppliers and notifying the team members of items status and delivery dates.
- Documentation and Reporting – Maintain accurate program records, including participant databases, attendance records, and program statistics. Assist in gathering data and preparing reports on program progress, outcomes, and impact. Help ensure compliance with program guidelines, policies, and reporting requirements.
- Production Control – Collaborate with Engineering, Quality, and Technicians to generate material purchases. Coordinate with customers on shipment-related communications. Attending working group meetings to discuss the progress of cable and harnesses, electrical assemblies, and test sets for military simulator or weapon systems.
- Inventory Control – Assist with shipping and receiving, verifying materials, and matching purchase orders to sales orders. Distribute orders to production control for processing. Support physical inventory counting and data entry into the inventory control system.
- Receiving - Properly mark incoming materials with appropriate identifying information.
- Facilities - Perform light facility maintenance tasks, such as sweeping, dusting, and mopping, as needed.
- Adhere to safety policies, practices, and procedures.
- Comply with all quality and ITAR policies, practices, and procedures.
- Foster positive relationships with internal business partners.
- Actively contribute to proactive team efforts to achieve departmental and company goals.
- Promote a positive team spirit.
- Maintain confidentiality of sensitive information.
- Perform other assigned duties.
- Bachelor’s degree in human resources management, Business Administration, or related field (or equivalent experience).
- Proven experience in an administrative or support role, preferably in a program or project-based environment.
- Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficient in using Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Detail-oriented with a focus on accuracy and quality in work.
- Strong interpersonal skills and the ability to work collaboratively in a team environment.
- Flexibility to adapt to changing priorities and deadlines.
- Knowledge of program management principles and practices is desirable.
- Desired experience within the military/aerospace industry or other highly regulated industries.
- Experience in supply ordering and vendor interaction.
- Familiarity with regulatory controls.
- Must be a US citizen due to export control rules and able to obtain a US Security Clearance.
- Strong team player who excels in a fast-paced, lean environment while maintaining quality standards.
