The Knowledge House’s mission is to empower and sustain a talent pipeline of technologists, entrepreneurs, and digital leaders who will lift their communities out of poverty.
 
The Knowledge House (TKH) approach is to (1) close gaps in the education­-to-­employment pipeline in underserved communities in the Bronx, NY, Newark, NJ, Atlanta, GA, and Los Angeles, CA, neighborhoods by teaching youth and young adults the skills needed to launch careers or ventures in technology, and (2) support links between local youth, tech innovation, and business development that bring positive community impact.
 
Headquartered in the South Bronx, TKH has served more than 2,250 students since 2014. Current core programs include our Innovation Fellowship focused on software engineering, cybersecurity, and digital design for adult job trainees, and our Karim Kharbouch Coding Fellowship for high school students learning computational thinking and web design.

Job Summary:
The Program and Operations Assistant will focus on building a community supporting recruiting and program operations and supporting TKH’s regional offices by creating a welcoming space for staff, community partners, and students. The Program and Operations Assistant will primarily lead classroom setup, partner management, reporting tasks, and activities that promote student success. Duties include, but are not limited to, the following:
 
  1. Program Operations and Fellow Engagement (40%)
    1. Provide 15 hours of weekly in-person or off-site support to address student support needs as needed. 
    2. Work with program managers to arrange in-person and virtual student engagement events for participating fellows in our programs. 
    3. Work with the external affairs team to support the planning and hosting of local volunteer and industry engagement events 
    4. Support students who have entered the program by answering questions via Slack and occasionally providing 1-1 help sessions.
    5. Report student support needs and successes to program managers, keeping student data updated and organized.
    6. Assist with the preparation and distribution of materials for program orientation, graduation, special events, meetings, and skill-building workshops, as needed.
    7. Support the classroom instructors with outreach to fellows (regional) who need empowerment or extra support.
    8. Complete other duties at the discretion of management.
    9. Assist with the completion of final reports for grant-funded, social enterprise, and community partner programs by providing program details related to enrollment, schedule, and content delivered.
    10. Attend monthly meetings on grants and reporting to report on student progress toward goals and share successes and challenges
    11. Track active grant outcomes promised and report on progress toward goals during quarterly data week
 
  1. Community Outreach, Recruitment, Screening, and Selection (40%)
    1. Conduct research and outreach to secure local referrals and community partners to spread awareness of TKH’s fellowship programs
    2. Assist with planning and promoting TKH events and workshops to students, alumni, and the local community, especially in-person
    3. Work with TKH’s recruitment and outreach team to support events, manage logistics, and help organize events
    4. Support recruitment efforts for programs, including info sessions, application screening, applicant assessments, interviews, outreach, pre-training, and enrollment
    5. Support the recruitment team with  engagement events for the general public to increase community engagement and applications to TKH’s core fellowships
    6. Support collection, review, and scoring of hundreds of applications for annual fellowships, coordinating support  activities for staff and volunteers
    7. Administer and lead intake sessions where student documentation is collected for verification purposes in adherence to grant requirements. 
    8. Partner with instructors and alumni to answer applicant questions
    9. Work with the Career Success team to leverage alumni referrals
    10. During recruitment season, attend community events, career fairs, and student network convenings to raise awareness of TKH programs.
 
  1. Site Management and Facilities Support (20%)
  1. In addition to reporting local program outcomes, the Assistant will report on cross-functional activities within the region, including volunteer recruitment, local job placement outcomes, and staff feedback
  2. Manage and coordinate equipment and materials logistics for TKH core programs for all four sites
  3. Coordinate with the operations and tech team to manage technology access for all our participating fellows

  1. Local office administrative duties including receiving and signing for office packages, monitoring any office mail, tracking and restocking office supplies
  2. Monitoring and reporting on in-office attendance through Envoy and managing guests or visitors in the space
  3. Monitoring the booking of desks, workspaces, and conference rooms through Envoy and/or SPACES
  4. Booking space, setting up technology, and breaking down spaces during office events (FAM, department meetings, retreats, and external events)
  5. Ordering, setting up, and breaking down food for office events (FAM, department meetings, retreats, and external events)
  6. Monitoring the office's weekly operations such as scheduling office cleaning and making sure the garbage is emptied daily
  7. Planning and executing Fun Fridays that are site-specific to happen in Q1 and Q3
  8. Track and report any on-site incidents or issues that arise
 

Qualifications


Experience:
  • 2+ years of professional or academic  experience in education, social services,  technology, or a relevant field is required
  • 2+ years experience with classroom management, teaching, or working with young adults is preferred

Compensation
  • Full-time $50,000-$65,000-year salary
