ESSENTIAL JOB FUNCTIONS

LIVIC Civil is seeking a motivated candidate to fill a full-time position for a Project Services Coordinator in its Transportation Division. This candidate's primary role will be to assist the Transportation Group Director and Managers with various project related and business development tasks. 

PRIMARY RESPONSIBILITIES
 
  • Organize, write, and respond to Requests for Qualifications (RFQs), Requests for Proposals (RFPs), and Statements of Interest, including resumes, projects, and technical content
  • Support planning and developing presentations
  • Assist the Transportation Group Managers with kickoff meetings to define expectations, identify tasks, assign responsibilities, and managing adherence to proposal schedule
  • Assist in developing strategic themes for proposal responses and presentations
  • Collaborate with Transportation Director and project management staff on a broad range of requests.
  • Update and maintain database of project opportunities, project descriptions, contacts, and clients
  • Able to remember simple and multiple tasks and assignments given to self/others ranging from short to long periods of time
  • Performs whatever tasks are necessary to execute proposals or presentations once direction is received. Serves as the go-to person for creating winning proposals and presentations.
  • Develops and maintains materials necessary for the production of proposals, such as project sheets, resumes, boilerplate narratives
  • Lead and manage proposal and marketing-related submission efforts to develop high-quality end products, including client prequalification, qualification packages, presentations, etc.
  • Conduct market research to support pursuits and business growth
  • Maintain marketing database through data entry to track key information regarding pursuits
  • Develop/maintain/update marketing collateral, including content, project descriptions, and resumes
  • Facilitate and contribute to project kickoff meetings, brainstorming discussions, debriefings, and market- and/or client-specific strategy meetings
  • Assist project managers with specific administrative tasks related to their assigned projects (Setting up project folders, project schedules, QC Plans)
  • Update weekly project milestone schedule to share at the PM meetings. Provide detail updates to project managers on progress of work items assigned to the group
  • Assist with typing up meeting minutes and engineering agreements
  • Assist with printing and binding project manuals and contracts
  • Organize reports, invoices, contracts, subcontracts, and other financials files for easy access
  • Ensure the project schedule, budget, and details of a given task are well organized
  • Plan meetings and organize project logistics
  • Complete mailing for the projects and distribute incoming mail to the group
  • Scan and save electronic files for projects
  • Assist with the closeout documents for projects
  • Perform miscellaneous administrative tasks to support Transportation staff.
  • May perform other reasonably related duties as assigned by the supervisor

PRIMARY QUALIFICATIONS
 
  • 2 to 5 years of professional experience working in a similar fast-paced, deadline-driven environment, preparing ECMS submissions, and custom letters of interest
  • Strong time management and organizational skills
  • Well-spoken with excellent written communication skills
  • Ability to work under pressure while managing multiple deadlines and assignments
  • Self-starter who is receptive to taking direction
  • Proficiency in Microsoft Teams, Microsoft Office Suite, and Hubspot


PREFERRED QUALIFICATIONS
  • Basic understanding of bridge and transportation industry terminology and procedures
  • PennDOT ECMS Experience

EDUCATION
 
  • Bachelor’s degree in Marketing, Communication, English, Journalism or other field of study. Relevant experience and industry certification may be considered in lieu of educational qualifications.
