Clean Energy Works primarily champions inclusive utility investments, a ground-breaking payment mechanism that enables utility companies to pay the upfront costs for qualified clean energy upgrades and allows the utilities to recover their cost through a fixed fee on the customer’s bill that is lower than the estimated savings from the upgrades.

Work Conditions
This role is a full-time position that works remotely from anywhere in the continental United States. However, the position will require some travel consisting of one or two in-person staff retreats annually, and other professional events which could be more or less intensive at times based on workflow. Candidates must be flexible to work with employees in all US time zones. Our work environment is based on Google Suite applications and we will provide a laptop for daily work.
POSITION OVERVIEW
The Operations Associate is a pivotal role within our organization, responsible for ensuring the smooth and efficient execution of daily work. This position supports all teams, managing logistics, coordinating schedules, overseeing workflow processes to enhance productivity, facilitating seamless communication, and mitigating issues before they escalate, thereby promoting a harmonious and efficient work environment. This role is crucial in maintaining the organization's operational integrity, enabling us to deliver high-quality services and meet our strategic objectives.
The ideal candidate has an eye for detail and a passion for organizing and streamlining workflows & processes in a collaborative environment. The position reports to the Director of Operations.
PRIMARY AREAS OF RESPONSIBILITY
Administrative
● Create new and enhance existing Standard Operating Procedures for internal processes
● Develop and maintain processes and workflows for managing incoming email to our administrative, information, and technical email accounts
● Maintain the organizational calendar and schedule team wide meetings
● Assist with scheduling team wide professional development trainings
● Manage the approval process for contracts and maintain the contract management system
● Support the team in making travel arrangements
● Assist with year-end templates and processes for the upcoming year
● Support the organization processes for onboarding and offboarding employees
Accounting and Finance
● Manage the invoice payment workflow to insure our bills are paid in a timely manner
● Create, maintain, and distribute financial reports for the Strategy, Fundraising, and Executive teams
● Assist with the annual accounting audit
● Develop templates for the annual budget process and schedule budget meetings for the team
Information Technology
● Track and maintaining software licenses
● Maintain users in various software solutions
● Develop and maintain IT equipment inventory tracking system
MUST HAVE QUALIFICATIONS & COMPETENCIES - The following are some of the core skills and competencies that we have identified as required for success in this position.
● Education - An Associate degree and at least 3 years of relevant experience. NOTE: A successful candidate need not have a college degree if they can demonstrate relevant experience and skills.
● Planning & Organizing - Able to effectively allocate time and resources to specific tasks and projects, ensuring they are completed efficiently and on schedule. Setting clear goals, prioritizing activities, and coordinating efforts to achieve desired outcomes.
● Digital Literacy - Able to use computers, other digital devices, and navigate the internet efficiently and effectively. Demonstrates proficiency in Google Suite (email, calendar, document management) and in Spreadsheets (Excel or Google Sheets).

Seeks opportunities to improve processes and outcomes. Constantly reviews performance to identify areas to develop.

COMPENSATION
The annual salary for this position is in the range of $60,000 and $75,000 commensurate with experience and qualifications. Clean Energy Works is prepared to offer an attractive compensation and benefits package, including healthcare benefits, 401(k) match, 11 paid holidays, 12 sick days, 3 personal days, and 20 vacation days. A full-time workweek at Clean Energy Works is 35 hours.
