Position Overview
BioSTL is seeking a dynamic and organized Event Coordinator/Administrative Assistant to join our team. This on-site position requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously with a proactive mindset.
Key Responsibilities

Event Planning: Develop detailed plans for events, including timelines, schedules, and budgets. Collaborate with various teams to determine event goals and objectives.

Logistics: Oversee event logistics, including transportation, accommodation, and equipment setup. Manage vendors and ensure all logistical aspects are well-coordinated and executed.

On-Site Management: Manage on-site event operations, including setup, registration, and troubleshooting. Ensure events run smoothly and address any issues that arise.

Communication: Maintain regular communication with attendees throughout the event planning process. Provide updates, gather feedback, and ensure client satisfaction.

Marketing and Promotion: Partner with internal communications team for marketing and promotional strategies to maximize event attendance and engagement.

Reception Duties: Manage the 3rd floor reception area visitors, overseeing office and breakroom supplies ensuring they are adequately stocked, and assist with incoming/outgoing mail. Provide overflow support and back-up for administrative staff as necessary.

Conference Room Set-Up and Support: Prepare and maintain conference rooms for meetings and events.

Engagement: Comfortable engaging with all levels of the organization including C-Suite level executives and investors.

Project Support: Support ad-hoc projects and initiatives as assigned by executives.
Qualifications

Associate’s degree or equivalent experience in a relevant field.

Experience in event coordination and administrative support preferred.

Attention to detail, extroverted personality, and proactive self-starter attitude.

Excellent verbal and written communication skills.

Culture advocates with a curiosity and desire to learn.

Proactive problem-solving skills and the ability to anticipate executive needs.

Experience working in a corporate or fast-paced executive environment is preferred.

Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint).
Working Conditions
-
Full-time position (40 hours/week), Monday through Friday – eligible for overtime.

General daytime hours with occasional evening hours for events.
