Position Summary

The Safety Assessment Processing Coordinator is responsible for receiving, reviewing, and processing safety assessment data submitted by Field Auditors to ensure accuracy, completeness, and readiness for engineering review and customer quoting. This role serves as a critical link between Field Auditors, Engineering, and Sales by maintaining clean data, organized workflows, and timely quote scheduling.

This position requires strong attention to detail, the ability to manage multiple workflows, and a proactive approach to administrative and operational support.

Key Responsibilities

Assessment Review & Processing

  • Receive and review safety assessment documentation from Field Auditors for completeness, accuracy, and clarity.
  • Verify that all required data, photos, and supporting documentation are properly submitted.
  • Identify missing, unclear, or inconsistent information and coordinate corrections with Field Auditors.
  • Ensure assessment data is accurately entered and accounted for to support engineering review and quoting.

Engineering & Quoting Support

  • Prepare assessment packages for Engineering to support accurate and timely quote development.
  • Track assessment status and ensure quotes are scheduled and returned within established timelines.
  • Serve as a point of contact between Engineering, Sales, and Field Auditors regarding assessment-related questions.

Workflow & Data Management

    • Maintain accurate records within the Product Data Management (PDM) system and related tools.
    • Ensure workflows are properly organized, updated, and progressing as expected.
    • Monitor workloads and escalate delays or bottlenecks as needed.
    • Maintain organized digital files, assessment records, and documentation.
    • Track quote schedules and follow up to ensure deadlines are met.
    • Support continuous improvement efforts by identifying process gaps or inefficiencies.

    Ad Hoc & Cross-Functional Support

    • Provide general administrative and operational support to Engineering and Operations teams.
    • Assist with special projects or additional duties as assigned.

    Qualifications

    Education & Experience

    • High school diploma or equivalent required; associate degree or higher preferred.
    • 2+ years of experience in an administrative, operations, project coordination, or technical support role.
    • Experience supporting engineering, safety, construction, or technical teams preferred.

    Skills & Competencies

    • Strong attention to detail and data accuracy.
    • Ability to manage multiple workflows and deadlines simultaneously.
    • Excellent organizational and time-management skills.
    • Clear and professional written and verbal communication skills.
    • Comfortable working with technical documentation and systems.

    Technical Skills

    • Proficiency in Microsoft Office (Excel, Word, Outlook).
    • Experience working in PDM, ERP, CRM, or workflow management systems preferred.
    • Ability to quickly learn internal systems and processes.

    Work Environment:
    This position is based in a standard office environment consisting of open office areas and cubicle workstations. The role involves prolonged computer use and frequent collaboration within a professional, team-oriented setting.
