Summary of Position: The Finance Associate is a permanent, part-time (25 hours/week) position, reporting to the Finance Manager. The Finance Associate is a crucial, multifaceted position that is primarily responsible for managing accounts payable and receivable, processing invoices, coordinating payroll, and assisting with onboarding new staff to financial processes and policies. The Finance Associate will possess strong organizational skills, a keen eye for detail, and the ability to prioritize multiple responsibilities effectively. To be successful in this position, a high level of accuracy and confidentiality is essential to the effectiveness and efficiency of the Finance department.
Position Responsibilities:
1. Accounts Payable/Receivable:

Process invoices and ensure timely payment to vendors.

Track and reconcile accounts payable and receivable transactions.

Assist with the preparation of financial reports related to accounts payable/receivable.

Maintain accurate records of financial transactions.
2. Vendor and Contract Management
3. Payroll Assistance:

Coordinate Support the payroll process, ensuring accuracy and compliance with company policies and regulations.

Maintain and update employee payroll records.
-
Address payroll-related inquiries and issues from employees.
-
Assist with tax filings and compliance reporting related to payroll.
4. Expense Management:

Process employee expense reports and ensure compliance with company policies.

Track and report on departmental spending and budget adherence.

Review and approve employee credit card expenses in Bill Spend & Expense to ensure proper documentation and compliance with organizational policies.
5. Onboarding and Offboarding:

Lead the finance part of the onboarding process for new hires, including setting them up with credit cards, and training on our Credit Card, Travel & Expense Policy.

Manage the finance part of the offboarding process for departing employees, ensuring the return and reconciliation of credit cards and timesheets.
6. Other Duties:

Maintain accurate and organized records for finance and contracting.

Assist in the development and implementation of finance policies and standard operating procedures.

Support various finance projects as assigned by management.

Provide general administrative support to ensure the smooth operation of finance functions.

Education:
Experience and Skills:

Proven experience in a similar role.

Proven experience with Bill.com and Sage Intacct is required.

Strong u Understanding of accounting principles, including General Ledger coding.

Ability to work independently with minimal supervision.

Compensation: The hourly rate range for this role is $25 to $30, based on our DC office location. Typically, new hires are hired into the middle portion of the range, enabling employee growth in the range over time. Actual placement in range is based on job-related skills and experience, as evaluated throughout the interview process. Pay ranges are adjusted based on cost of labor in each respective geographical market.
