The Sales Administrative Assistant serves a dual role in providing administrative support to the Sales Rep team, as well as serving as a backup Customer Service Representative in times of high call volume and vacation fill-in. The Sales Administrative Assistant supports our sales department with careful and timely response to RFPs, quote requests, privacy documentation, and other administrative tasks.

Key Duties

  • Administer vendor application processing to ensure thorough and timely processing; create and maintain sales contracts and agreements as directed
  • Perform all functions as part of the Quotes Processing Team to provide customers with timely replies and follow-up to quote requests
  • Provide support in completion of responses to RFPs as directed
  • Monitor sales activity within high-volume school districts to ensure that all contracts are executed in a timely manner
  • Perform research to identify potential customers, and create database to capture customer data to be used for outreach and solicitation
  • Create and maintain accurate records of customers, sales, agreements, etc., and ensure that all records are reviewed and backed up on a regular basis

Qualifications/Experience

Our ideal candidate will possess the following qualities:

  • At least 2 years of administrative experience; experience with educational contracts is preferred
  • Bachelor’s degree preferred, or an equivalent combination of post-secondary education and related work experience
  • Strong computer skills, including demonstrable Microsoft Word and Excel skills at an intermediate to advanced level
  • Ability to problem-solve, evaluate customer needs, and provide cost-benefit evaluations
  • Engaging phone personality, including ability to maintain calm in the face of criticism
  • Ability to work well both within a team environment and independently
  • Ability to juggle multiple projects easily and determine shifting priorities

Pioneer Valley Books’ office is located in Northampton, MA, and is temporarily closed due to COVID. This position is offered as a remote position for the foreseeable future; once the office reopens, the position could continue to be remote, with on-site presence expected as needed.
