About the Role

We are seeking an experienced Office Manager to work with our project managers and oversee our administrative staff.  This person should have great attention to detail and the ability to prioritize and delegate tasks as needed.  Experience managing both people and projects is a must.  The administrative manager will need to effectively navigate different personalities and work styles to accomplish goals.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Oversee and manage the administrative staff
  • Recruit, train and conduct performance reviews of administrative staff
  • Prioritize, delegate, and confirm completion of administrative work
  • Enter and update client, contact and project information into the project management system BillQuick
  • Assemble the templates for client proposals according to Project Manager instructions using the CRM system Cosential
  • Send, track, document and follow up on proposals to clients
  • Obtain and provide Certificates of Insurance according to client instructions    
  • Hire, schedule, and coordinate Subcontractors
  • Prepare invoicing backup tables for Accounting
  • Complete some filing, copying, review of documents, binding of reports
  • Backup other Administrative Assistants in their absence
  • General Administrative tasks

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Bachelor’s degree or equivalent in business/administrative experience
  • 5 years of experience in a management role
  • Strong communication and time management skills 
  • Ability to manage people, coordinate projects, and delegate responsibilities
  • Exceptional project and personnel management skills
  • Excellent ability to multitask and prioritize in a busy, fast-growth environment
  • Ability to problem solve and think creatively
  • Proficiency with multiple software systems
  • Proficiency in MS Word, Excel and PowerPoint
