    This a full-time position. The hours are 8:00am-5:00pm Monday-Friday. 

    This position coordinates and/or performs a wide variety of administrative, secretarial, and support activities on behalf of the Nursing Directors. Serves as primary point of operational and administrative contact for internal and external constituencies, often on complex and confidential issues.
     

    The Administrative Coordinator will:

    • Organizes and maintains office systems and procedures, making modifications in systems and procedures to improve office operations and reflect the current status of record and filing systems.
    • Manage and coordinate the Affiliate Schools Clinical Rotation Program scheduling and Leadership Preceptor Program.
    • Communicate with the Instructors and Dean of the Affiliate Schools to find out what areas in the Division of Nursing they would like to have their Students Rotate to. Coordinates the onboarding for new hires and agency
    • Work with CNO to coordinate the Nurse Externship program that occurs every year from June through August. Coordinates training and scheduling for the Unit Secretaries, Unit Aides and other secretarial staff in the Division of Nursing.
    • Monitors all staffs time & attendance and works with the CNO in developing performance improvement letters. Initiates and maintains personnel files, office records, procures supplies and other needed equipment for the department through the Lawson system or purchase request, prepares payments for vendors through Lawson and maintains the daily input of information into the Kronos system for the division.  Correctly prepares purchase requests for processing.
    • Initiates and completes travel arrangements for nursing staff which may include transportation reservations and appropriate written request and vouchers. Maintains Directors/managers appointment calendar with the authority to make appointments and establish priorities.  Prepares materials for each appointment.
    • Provides answers to a variety of inquiries and determines those of sufficient importance to warrant the consideration of the immediate supervisor or another nursing administrator. Screens telephone calls and personnel requests to meet with the Director; exercises tact and diplomacy in handling personal and telephone requests; clarifies and interprets policies and procedures and general information for visitors and/or departmental. Receives and sorts correspondence for the CNO, reviews and processes reports from employees and transmits to Director.
    • Assists CNO in the assembly of data relative to specific projects and/or problem areas. Prepares statistical routine reports as required, and maintains office copies of various reports as per office procedure. Arranges conferences and meetings with various persons as requested to include taking dictation, ensuring the adequacy of the meeting room, preparing other materials and processing meetings notices.
    • Maintains budgeting information such as, position control numbers, vacancies, turnover rate reports and other logistics reports. Assists with Capital Budget and other budget related projects in the Department of Nursing. Maintains and updates policy and procedures in collaboration with the Chief Nursing Officer.
    • Assumes other duties and responsibilities that are related and appropriate to the position and area.  The above responsibilities are a general description of the level and nature of the work assigned to this classification and are not to be considered as all-inclusive.

    Qualified candidates will possess:

    • Bachelor’s degree
    • Two (2) years of related experience or equivalent in education, training/and or experience. Previous experience administering office operations in a healthcare setting preferred.
