Summary

The Receptionist/File Clerk reports to the Office Manager. This person collaborates with and provides assistance to all company departments including Engineering, Risk, Accounting, HR and IT. This role requires the ability to:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Ensure all filing is complete and accurate
  • Develop and maintain databases
  • Label and update paper files
  • Put files, digital or paper, into their proper location
  • Create UPS, registered mail, and all other types of mailing labels
  • Maintain supply inventory
  • Order office supplies for printers/copiers and call for maintenance and repairs as needed
  • Answer phone calls and route them to the appropriate parties
  • Edit, produce and bind reports
  • Sort, deliver, pick up and send mail
  • Maintain coffee machine, and kitchen area
  • Backup other Administrative Assistants in their absence
  • Perform other administrative duties as required

Education/Experience

Bachelor's degree (B. A.) in business or a related field. A minimum of three years of experience.

 

Language Ability

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

 

Math Ability

Basic math skills for addition, subtraction, division, multiplication. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

 

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

 

Computer Skills

Advanced knowledge of Microsoft Office Suite, Outlook and PDF programs. Ability to learn new systems quickly.
