Schedule:                               Monday through Friday, 8:30 a.m. to 5:00 p.m.                  

Reporting Relationship:       Works under daily direction of the Client Relations Operations Supervisor

Responsibilities:

The Operations Specialist is responsible for researching, developing, and maintaining client/customer partnerships and contract management alongside the Client Relations team. This position will also be responsible for researching, coordinating, managing exhibits at local and national events or other potential customer conferences and expos. The Operations Specialist will also prepare quotes and proposals and be responsible for updating CRM with pertinent information related to the opportunity.

Daily Tasks

·         Maintains knowledge of industry developments

·         Collaborates with Regional Account Managers to strategize on effective delivery of services and execution of a sales plan

·         Writes and refines proposals and quotes for work as requested by potential customers.  Works closely with relevant departments in order to draft proposals that provide customers with the best solution(s) to their needs

·         Maintains and documents customer and lead contact information as well as contact activities within Customer Relations Management (CRM) software

·         Operations Supervisor will provide the Specialists with the approved budgeted conferences list.  The Specialist will manage all conferences and events  Completes all forms and ensures payment of participation

·         Arranges all logistics related to conferences for the Regional Account Managers and Consultants

·         Works closely with Marketing for specific Marketing Collateral related to conference themes and/or services that will be promoted at said conference 

·         Manages Conference Calendar entries in Planner & Teams

·         Works closely with Quality Project Managers and external departments to make sure the client’s needs are being met

·         Provides customer service where necessary to client

·         Uploads receipts and codes credit card transactions for the VP of External Affairs and Director of Client Relations

·         Assists in coordinating meetings with potential clients for the VP of External Affairs and Director of Client Relations as requested   

 

Physical Duties

·         May be expected to lift boxes up to 50 lbs.

·         May require some evenings and/or weekends 

·         Will be expected to travel 20% of the time

Knowledge and Skills Requirements: 

·         Knowledge of business vocabulary and composition of business documents

·         Working knowledge of correct English grammar, spelling and punctuation; ability to communicate effectively, both verbally and written

·         Ability to learn and apply routine office policies and procedures

·         Stay current on trends in the areas of marketing and sales

·         Proficiency in Microsoft Word, Excel, Power Point, and Outlook

·         Strong interpersonal skills for interfacing with staff, providers and stake holders

·         Strong problem-solving and organizational skills. Must be detail-oriented, flexible, and decisive with excellent customer service skills

·         Demonstrated skills in conflict resolution, diplomacy, and positive relationship building; must practice active listening to understand others’ perspective and ensure continuous understanding

·         Must have a valid California Driver License

·         Candidates must be willing to travel up to 20% to perform local, statewide, and national sales and marketing

Formal Education: Bachelor’s Degree in Business Administration, Marketing, Sales or a related field required

Language proficiency required/preferred: Proficient knowledge of English grammar required.  Spanish proficiency a plus.
