JOB SUMMARY
The Travel Agency Manager will oversee all functions and day-to-day operations of Elligo’s travel agency. In addition, this position will perform potential new business outreach and product improvement.
RESPONSIBILITES
The Travel Agency Manager will be responsible for day-to-day operations of Elligo’s travel agency. The Travel Agency Manager will oversee agent bookings, ticketing, sales reporting, commission reconciliation, and vendor maintenance, among others.- Supervises the day-to-day ARC/Sabre functions of the agency, including ticketing, sales reporting, stock maintenance, and accounting and budgeting functions
- Monitors and maintains all online vendor portals, including but not limited to Sabre, Groundspan ARC, Trams and Concur
- Reconciles weekly and monthly reports and invoices from vendors, including ARC, Sabre and OUS partners
- Negotiates and secures privatized rates and commission structures with vendors
- Ensures that vendors are paying Elligo the monthly commissions as outlined in agreements
- Creates and maintains any agency-related guidance documentation
- Creates, reviews, and trains all internal team members on Sabre, ARC and any other vendor related systems and processes
- Ensures revenue is realized and the project functions within budgetary perimeters
- Point of escalation for travel-related issues
- Identifies and improves processes within the travel agency
- Conducts vendor management and collaboration with after hour travel agencies, as well as OUS partner travel agencies
- Evaluates vendors as new ones are needed for selection of services
- Completes necessary documentation and legal forms needed for travel agency maintenance
- Assists with resource allocation of travel coordinators to maximize department efficiency and client budgets
- Implements alternative ideas for achieving new business
- Reports hours worked on individual projects into NetSuite daily; submits the week’s reported hours every Friday
- Operates in compliance with IRB, GCP, and HIPPA guidelines
- Ensures that a high-level of customer service is being provided to all potential and current clients
Employee Management- Supervises identified personnel
- Conducts regular reviews according to employee timelines to set clear expectations, goals, and performance plans as needed
- Approves PTO, sick time, and the escalation of requests between HR and the employee
- Ensures compliance with all company SOPs, departmental Guidance Documents, and company policies
- Motivates employees to maintain high utilization rates
- Assists direct reports with management of indirect reports when applicable
QUALIFICATION AND EDUCATION REQUIREMENTS- Previous work experience as a Training Coordinator, Trainer, Training Facilitator or similar role in a Travel Agency
- 5-7 years professional experience in the travel industry, management experience strongly preferred
- 2-3 years Sabre GDS experience
- Exceptional writing skills; excellent communication skills and proofreading abilities
- Ability to negotiate contracts with vendors
- Exceptional customer service
- Critical thinking
- Clinical Research related experience strongly preferred
- ARC Specialist Qualifier Certification
- International travel coordination experience
- Concur experience
WORKING CONDITIONS
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.
Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:30 a.m. to 3:30 p.m. and must work 37.5 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.
Moderate (10-25%) travel is required for this position.
