JOB SUMMARY
The Marketing Project Coordinator will support and report to the Project Managers on any ongoing projects for both Site clients and Sponsor clients. The Project Coordinator will serve as the main point of contact for all Site Clients, which includes Sites that utilize our monthly or per-study general marketing and advertising services and Sites that are selected for Sponsor centralized campaigns.

RESPONSIBILITES
The Marketing Project Coordinator’s main objective is to support ad buys, assist in the execution of recruitment support services, and provide site communication surrounding monthly, per-study, and centralized projects. The Project Coordinator will also be responsible for collaborating with the design team to execute any projects requiring design elements.
Job Functions/Responsibilities: Site Clients
  • Responsible for developing recruitment strategies for new and existing Monthly/Per-study Engage clients.
  • Responsible for working with other Project Coordinators and Project Managers, inclusive of the Design team, in order to successfully support Monthly/Per-study Engage clients in executing all recruitment support services and campaigns.
  • Serve as the main contact for all site clients
  • Conduct initial recruitment strategy call with Monthly/Per-study sites to determine best fit strategy
  • Collaborate with PM and Proposal Writer to draft a proposal based on site’s approved budget
  • Project manage all site-specific campaigns and recruitment support services with the assistance of PM

  • Online Advertising Management
  • Develop, initiate, and maintain online campaigns
  • Compare ‘actual searches’ with selected ‘keywords’ and make revisions as necessary to ensure that each campaign is the most effective
  • Contact Google for any underperforming campaigns and make recommended changes as needed
  • Media Buy Coordination and Execution
  • Serve as the main point of contact for all media vendors
  • Connect with vendors to obtain proposals
  • Provide vendor proposals to PM for approval
  • Remote Referral Source Outreach
  • Serve as the main contact for referral sources
  • Responsible for establishing relationships with potential referral source facilities/support groups and introducing new study opportunities on behalf of Site and Sponsor clients
  • Social Media Management
  • Actively engaging in client’s social media
  • Comment/like posts
  • Join & follow relevant groups and organizations
  • Blog Management
  • Blog creation
  • Oversees marketing/patient recruitment interns and approve client blogs

Job Functions/Responsibilities: Engage (Internal)
  • Administrative
  • Assist with metrics tracking and reporting (Salesforce, Google Spreadsheets, Excel, Word documents) for both Site and Sponsor clients
  • Set up and complete any data entry systems required for trial
  • Assist in developing presentations and training presentations for new sponsor projects clients
  • Sponsor study admin (Site Contact Lists, Call Notes)
  • Attend internal study meetings to review projects and accept delegated tasks
  • Contact management in Salesforce
  • Linking all contacts to the specific “Campaign”)
  • Input all information into Google tracker and verify the site Sales Force Community Platform is 100% up to date (e.g.: site prescreen fail, site screening, site SF, site Randomization, etc.)
  • Responsible for entering all daily applicable time into Replicon
  • Assist the Engage department in any content creation for internal and client facing projects

QUALIFICATION AND EDUCATION REQUIREMENTS
  • Bachelor’s Degree in marketing, communications, advertising, public relations, or related field
  • A minimum of 1-3 years professional experience in marketing, public relations, advertising, or communications field.
  • Exceptional writing skills; excellent communication skills and proofreading abilities
  • Experience using digital and traditional advertising and marketing platforms and tools (Google AdWords, Analytics, Webmaster tools; social media; WordPress etc.)

Preferred but not required:
  • Agency experience
  • Medical industry experience or familiarity with clinical research
  • Understanding or experience with patient recruitment campaigns in a clinical research setting is ideal.

WORKING CONDITIONS

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, and photocopiers.

Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:30 a.m. to 3:30 p.m. and must work 37.5 hours each week to maintain full-time status. Occasional evening and weekend work may be required as job duties demand.

Moderate (10-25%) travel is required for this position.
