Job Summary
We are currently seeking a Senior Executive Assistant and Corporate Meeting Administrator to provide corporate meeting facilitation and manage the supply ordering and budget. Being able to operate in a project manager capacity to ensure deliverables are documented and met, is key to success in this role. An approachable demeanor while showing the fortitude to push back and hold people accountable is a balance that needs to be achieved. This role will report to the COO/CFO

List of Responsibilities
  • Facilitate weekly and monthly meetings and distributing minutes, and tracking and driving action items to completion to achieve corporate goals. A typical week would consist of spending approximately 25 hours in meetings, the balance spent on follow up and meeting set-up.
  • Facilitating and participating in monthly two-day offsite corporate meetings including venue selection and set-up.
  • Ensure that meeting attendees meet their deliverables on a weekly basis
  • Establishing and maintaining files and filing system
  • Setting up, organizing, scheduling meetings, venues, food service as required.
  • Maintain the budget and be responsible for all supply ordering in the Boston office.
Required Skills  and Experience
  • 4 Year college degree preferred
  • 5 Years of progressive administrative experience, ideally in small to mid-size organization supporting senior executive teams and/or individuals is required.
  • Strong organizational skills and ability to juggle multiple priorities, quickly prioritize workload and adjust accordingly.
  • Confident, outgoing and approachable
  • Able to work well with and instill confidence in others at all levels within the organization
  • Superior MS Office knowledge, specifically Outlook, Powerpoint and Excel
  • Ability to grasp new technologies quickly
  • High energy, professional, flexible approach and service driven attitude
  • Strong written and verbal communication skills
  • Ability to thrive in a constantly changing, deadline-driven environment
  • Able and willing to work extended hours during peak periods
