Administrative Assistant III - Richland, WA 


Perform administrative duties for the Manager, Supervisors, and Department staff.
Resolve issues/conflicts in the organization with little direction from management.
Exercise discretion and independent judgment capable of analyzing the conflicting demands and make recommendations to management. Assume responsibility for tasks assigned to the Manager in order to relieve them of administrative burdens.
Maintain schedules, and schedule meetings and training for Project Managers. Provide supervision for the WBL Student.

Responsibilities: 
• Attend Meetings and take minutes and track issues as needed.
• Record list of actions taken from meetings.
• Prepare meeting agendas.
• Assemble package for Manager and Supervisors.
• Review AR/CR Report daily to ensure AR assignments are completed on time.
• Provide reports/reminders to department personnel to ensure timely closure of AR actions.
• Maintain vacation calendar
• Assign and remove individual duty and qual groups
• Maintain visitor database
• Manage Safeguards PQD
• Review/initiate/implement procedure revisions.
• Department Functional Area Score administrator
• Records Information Management Representative
• Provides coverage for department CIC and Specialist/scheduler
• Process gold cards and observations cards
• Access and Fitness-for-Duty (FFD) contact
• Administer travel program for the department, ensuring compliance with company policy and practices on booking and expense reimbursement.
• Enroll personnel in training databases, as necessary.
• Provide leadership and professional guidance to other administrative support staff.
• Assist in obtaining access to contractors, visitors, etc.
• Assist with the preparation and processing of contracts within department.
Initiate new job requisitions, schedule interviews and complete interview paperwork
Outage support including PPE, bootcamps, trailer rentals, ESOMS, training coordinator, etc.

Required Education and Experience
Requires a minimum of five years of progressive administrative/technical experience, including leadership responsibilities and independent decision-making authority.
A high school diploma or GED is required

Desired Education and Experience
Strong working knowledge of software programs such as:
Portal J/PQD
Plant Tracking Log
Plateau
Access On-Line
Crystal Reports
Required abilities and skills
Strong working knowledge of Microsoft TEAMS, Word, Excel, and Outlook.
Detailed oriented
Organized

Desired abilities and skills
Strong working knowledge of plant departments, procedures, and processes.
