The gig in short:

Reporting directly to the CXO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CXO. The Executive Assistant also provides support to the senior management team; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. 

 

The Executive Assistant effectively works within an entrepreneurial environment that is mission-driven, results-driven and community oriented. This individual independently practices good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

What we want you to do:

  • Provide high-level administrative support to CXO

  • Maintain a deep understanding of priorities in order to allocate CXO’s time and resources appropriately

  • Manage calendars, assemble meeting agendas, and other projects as identified

  • Brief and prep Chief Experience Officer for upcoming meetings, events, and action items

  • Attend meetings with CXO, take detailed notes and meeting minutes, track action items and translate them into ENTRE’s project management tool (ClickUp)

  • Coordinate and schedule department meetings

  • Manage and submit business expense reports to Finance on behalf of the Chief Experience Officer

  • Plan and execute on administrative needs for the department

  • Track a wide range of department initiatives and ensure stakeholders receive essential communication

  • Communicate with Operations Project Manager to confirm key initiatives are moving forward, that the CXO is apprised of key issues, and involving the CXO as required

  • Use sound judgment and decision-making to ensure that the appropriate stakeholders are invited to participate in meetings

  • Ensure that all communication is sent through the most efficient channels. (That there are no “this could have been an email/Slack message” meetings)

  • Ensure that all department documentation is up-to-date and organized, including role descriptions, SOPs, policies, capacity planning, and student deliverables

  • Create and edit documentation when necessary, including training team materials, role descriptions, capacity planning, student deliverables, and presentation materials

  • Provide assistance or support as-needed on executive or team-level retreats and meetings

  • Assist with the planning and execution of meetings and/or retreats as needed

  • Handle scheduling and coordination of travel, itineraries, and related logistics for Fulfillment team members when necessary, as requested by CXO

  • Be able to clearly communicate needs and expectations between CXO and various team members

  • Exercise creativity and problem-solving to assist CXO and Fulfillment leadership with addressing department needs and concerns

  • Compile weekly Key Performance Indicators (KPIs) and data points from across the department for weekly Executive and Fulfillment meetings

  • Draft and review contracts and submit to Accounts Payable for review and approval

  • Process expense reports

  • Track ongoing projects and their statuses

 

What we are looking for and what you have to have:

  • A minimum of 5 years relevant work experience providing direct support to a C-level executive or owner

  • Bachelor’s degree preferred

  • High degree of technical competency in a modern office environment, with extensive experience utilizing cloud-based productivity tools such as Google Sheets, Google Slides, Google Drive, Dropbox, Slack, etc.

  • Able to work independently, “read between the lines” and execute without direct supervision

  • Comfortable using and updating project management tools

  • Reliable, self-motivator, with high attention to detail

  • Excellent written and verbal communication skills

  • Established record of successful problem solving skills

  • Able to keep track of multiple projects at one time

  • Detail-oriented and extremely organized
