Responsibilities:
Under general supervision, the Quality Assurance Project Manager will manage a caseload of projects related to quality improvement activities associated with grant based and fee-for-service projects. The QAPM manages and tracks the scope of work and project deadlines for assigned projects and ensures the accurate and timely delivery and completion of work products, following the guidelines and protocols that are required based on the particular grant or project.

Daily Tasks:
  • Works directly with the Project Management Supervisor to maintain policies, procedures and protocols for grant based and fee-for-service projects
  • Maintains a caseload of multi-faceted projects related to Client Development that may include but is not limited to work related to coaching, quality assessments, trainings, data collection, and/or technical assistance
  • Maintains a caseload of grants/in-network providers that may include but is not limited to work related to quality assessments and trainings
  • Collaborates with the Client Relations Department, Lead Trainer and Supervisors to meet contract and/or grant requirements
  • Leads roll-out meeting for all allocated staff assigned to projects prior to starting work on the contract, and leads debrief meeting after project is completed
  • Acts as a main point of contact for troubleshooting and directs the resolution of client issues by fostering effective customer service
  • Creates and maintains comprehensive project documentation for current and past projects that includes but is not limited to sign-in sheets, surveys and other training materials
  • Manages, compiles and implements tracking of all assigned contract timelines
  • Maintains rigorous quality control and assurance processes in order to meet project or contract requirements
  • Tracks milestones, deliverables, and outcomes to ensure that the required scope of work is completed in a timely manner
  • Manages multiple deadlines effectively and works with other staff to ensure that all work is accurate and completed on time
  • Provides customer service on a daily basis that may include but is not limited to communication with providers to develop plans for assessments, trainings, and other needs
  • Support with training administration components across learning projects/events in the Child360 learning management system (LMS)
  • Develops communications, handouts and FAQ’s for providers on the Assessment & Technical Assistance processes
  • Monitors resource availability and allocation and notifies management of potential resource shortages
  • Manages completion of training contracts by working with staff to assign trainers, secure venues and other training logistics, manage RSVP count, prepare materials for training, and provides various types of support to clients, attendees and trainers prior to, during and after training as necessary
  • Support the assessor reliability process by assisting with venue selection, assessment scheduling, and reliability tracking
  • Evaluates, assesses, and assigns quality ratings, as needed
  • Participates in regular professional development to increase and maintain core competencies
  • Conducts quality assurance checks on work completed on projects
  • Reviews, documents and gathers information for invoicing as needed per contract
  • Coordinates scheduling as applicable to each project, including creating calendar invites for assessors and trainers
  • Provides timely and accurate communication to internal and external stakeholders via various modes of technology (phone, e-mail, etc.)
  • Attends assigned meetings with internal staff to provide scope of work updates on assigned projects
  • Attends assigned meetings with Client Development clients, as needed
  • Regularly reports on ongoing progress and completion, including written weekly reports for all projects and monthly report for assigned projects
  • Assists in preparation of reports, analyzing data, and identifying solutions
  • Contributes to an effective professional work environment
  • Perform other projects and duties as assigned
Physical Duties:
  • Work is primarily sedentary in nature, no special demands are required.  May be expected to lift boxes up to 20 lbs.

Knowledge and Skills Requirements:

Knowledge:
  • Understanding of project and resource management principles
  • Demonstrated ability in leading and managing complex projects
  • Knowledge of business vocabulary and composition of business documents
  • Working knowledge of correct English grammar, spelling and punctuation; ability to communicate effectively, both orally and in writing
  • Ability to analytically evaluate project scope and assess risk
  • Familiarity with change management concepts
Requirements/Skills:
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook
  • Demonstrated knowledge of correct English grammar, spelling and punctuation; ability to communicate effectively, both orally and in writing
  • Strong interpersonal skills for interfacing with staff, providers and stakeholders
  • Strong problem-solving and organizational skills.  Must be detail-oriented, flexible, and decisive with excellent customer service skills
  • Must have a valid California Driver License and proof of Child360 required level of automobile insurance
  • Must have reliable transportation and be able to travel both locally and outside of the local area (out of country and out of state as needed) early morning, evening and weekends are required
Required Travel: Up to 25% as needed

Preferred Experience: Three -5 years of program and/or project management experience

Formal Education: 
Bachelor’s degree and 3 to 5 years of experience working with the public in a professional environment with increasingly responsible duties, Project Management Professional (PMP) ® Certification preferred
Language proficiency required/preferred:
 
  • Proficient knowledge of English grammar required
  • Bi-lingual (English/Spanish) preferred
