ESSENTIAL FUNCTIONS:

The Property Manager will oversee day to day operations on several developments, within the organizations portfolio. This is a permanent full-time position with limited travel to properties in the St. Louis area.

ROLES AND RESPONSIBILITIES:

Property Maintenance and Tenant Interaction:
  • Lease administration and implementation/application of lease provisions from execution through occupancy and end of term.
  • Receive maintenance requests and ensure timely resolution, including response to after-hours emergencies.
  • Focus on tenant satisfaction and retention.
  • Provide general working knowledge of market activity/trends and other support for the preparation of market rent studies and fair market value opinions.
  • Assist with the development and implementation of internal departmental policies and procedures.
  • Conduct regular property inspections and visitations with tenants.
  • Provide prompt, professional response and follow-through regarding tenant inquiries, problems, and complaints.
  • Coordinate move-in for new tenants and move-out inspections for tenants vacating their space.
  • Update and maintain property condition reports with respect to roofs, HVAC units, parking lot, etc.
  • Obtain bids and manage capital improvement projects.
  • Coordinate tenant finish construction with tenant and contractors.
  • Supervise contractors and maintenance staff for services and repairs to properties.
  • Assist with the preparation of rent commencement letters, delivery notices, and other paperwork for new tenants.
  • Complete other special projects and duties as assigned.

Vendor Administration:
  • Maintain a file of Certificates of Insurance for both tenants and vendors.
  • Prepare new vendor contracts and manage renewals.
  • Maintain a schedule of service contracts by property.
  • Maintain and update a list of preferred vendors in each trade.
Property Reporting and Accounting:
  • Prepare comprehensive management reports for all management clients monthly, including various analyses.
  • Prepare and manage annual operating budgets.
  • Prepare monthly financial operations reporting to client/ownership.
  • Review real estate tax assessments, and coordinate appeals when necessary.
  • Manage the recurring manual billings (water, sewer, electric, etc.)
  • Coordinate collection efforts of accounts receivable. This will include the preparation of past due statements and correspondence with delinquent tenants.
  • Review annual expense reconciliations and handle correspondence with tenants.
  • Assist in the completion of annual commercial tenant operating expense reconciliations.
  • Execute annual City of St. Louis required reporting on utilities.

CHARACTERISTICS & ABILITIES VITAL TO THIS POSITION:
  • Demonstrates the strong organizational skills.
  • Possesses knowledge of the real estate industry, including market trends, prices, and state and federal housing regulations.
  • Proficient in basic computer programs including Microsoft Word and Excel. Knowledge of Yardi and other property management software a plus.
  • Ability to travel to various property sites if necessary.
  • Must be detail oriented with ability to manage time efficiently.
  • Exhibits solid communication skills, with an ability to calmly resolve disputes or complaints and works well with a team.
  • Interacts and engages in a friendly manner with potential and current tenants.
  • Demonstrates ability to think creatively to develop new marketing and recruiting techniques.

EXPERIENCE AND EDUCATION:
  • High school diploma or GED required.
  • Real estate, property management, or customer service experience required.
  • Expected to complete necessary Fair Housing and Occupational Safety and Hazard Administration certifications.
  • Competencies to include Microsoft Outlook, Office, Yardi and Commercial Cafe
  • 5 years of experience in commercial property management
