A.        POSITION SUMMARY
 
The Payroll & Benefits Coordinator is responsible for multiple activities relating to company bi-weekly payroll, health benefits, 401k administration and other general HR coordination functions. This includes timely and accurate reporting of payroll data for all company employees. Integrity and strong attention to detail are crucial for this role.
           
B.        DUTIES AND RESPONSIBILITIES

Payroll Administration
  • Administration of bi-weekly payroll data to Insperity for all employees, auditing payroll processing reports for accuracy.
  • Ensure that all salaries are paid accurately and in a timely manner through Insperity.
  • Prepare all payroll related accounting/allocation reports for timely submission to accounting department and third-party administrators.
  • Issue ad hoc, monthly, quarterly, and annual reports as necessary.
  • Receive and handle all inquiries arising from questions about payroll / benefits in a customer service-oriented manner.
  • Implement salary increases, bonuses, commissions, etc. in accordance with approved/documented requests through the Insperity system.
  • Maintain detailed HR records and documentation of payroll functions for audit purposes, in accordance with statutory requirements.
  • Communicate all garnishment notifications from third parties to Insperity.

Group Benefits Administration
  • Assist in the education and administration of all employee benefit programs (e.g. health benefits, STD/LTD, 401K, TAFW, WC, ESC, etc.).
  • Prepare and distribute reports, benefit package descriptions, and other publications.
  • Coordinate with Insperity open enrollment, e.g. communications, follow up, etc.
  • Onboard eligible participants and Offboard terminating participants timely.
General HR Duties
  • Assist in the recruitment process as needed (i.e. posting job opportunities, collecting resumes and scheduling interviews for the appropriate manager) utilizing the Insperity ATS system.
  • Initiate background check, drug screen for all approved candidates.
  • Onboarding of new associates, inputting data into Insperity system.
  • Assist in training managers and associates on Insperity Time & Attendance, benefits programs, etc.
  • General office duties as assigned.
  • Back up or assist Administration employees or other departments as requested by SVP HR as required.
  • Assist Insperity team with WC and ESC claims reporting and administration.
  • Assist in the planning and coordination of employee functions and group activities.
Requirements
  • Minimum of 5-years payroll / benefits experience.
  • Proficient knowledge & implementation of payroll and time & attendance systems (currently Insperity) or other comparable web-based products and Applicant Tracking (ATS) systems.
  • Advanced proficiency with MS Office software, particularly Excel
  • Knowledge of tax withholding forms, health benefits programs, time accruals, sick pay – STD/LTD, retirement plans, etc.
  • Must be able to handle and communicate confidential information in an ethical and professional manner.
  • Effective attention to detail and a high degree of accuracy          
C.        QUALIFICATIONS                         

1.         Education/Experience

            (a)  College degree preferred.
            (b)   Educated in standard Paryoll processing practices.     

2.         Knowledge, Skills, and Abilities

            (a)  Hands on experience payroll processing. 
            (b)  Ability to manage highly confidential data with integrity and positive attitude.
            (c)  Above average customer service skills and orientation.
            (d)  Strong computer experience in Microsoft Office w/strong keyboarding required.  Payroll and ATS system experience –                    Insperity or Paycom preferred but comparable systems considered.
            (e)  Above average verbal and written communication skills required.
