POSITION: Operations Specialist

LOCATION: Rome, NY (hybrid)

SUMMARY: Our client, ROI Office Interiors is an organization specializing in office space planning, design, & installation of office furniture, is hiring an Operations Specialist. The Operations Specialist is responsible for processing orders, coordinating general maintenance, facilitating communication between vendors & the team, and various internal projects & administrative duties. The Operations Specialist will support the greater management team by developing weekly reports & updating internal documents. The ideal candidate should possess prior administrative experience, strong communication skills, and the ability to manage multiple competing priorities concurrently.

Demonstrated experience with Microsoft Office, professional email correspondence, and working in a detail-oriented environment highly preferred.


CORE DUTIES and RESPONSIBILITIES:

Administrative Duties including, but not limited to:

  • Updating internal documents
  • IT coordination (between vendor & team)
  • HR coordination
  • Tennant management (coordinating maintenance, etc.)
  • Bid preparation (assist with document gathering & facilitating)

Submitting Orders

  • Processing credit card payments
  • Collecting project insurance documents
  • Submitting punch lists to manufactures

Internal Projects including, but not limited to:

  • Ordering new business cards, coordinating new clothing for install dept, getting new trucks wrapped (facilitating design and gathering pricing)
  • Coordinating & scheduling employee headshots
  • Software implementations (researching and helping to implement new software into our processes)
  • Finding a salesforce development company
  • Assisting in planning company holiday party

General Maintenance Coordination

  • Coordinating truck repairs
  • Coordinating warehouse repairs (garage doors, forklift, baler, etc.)
  • Coordinating showroom repairs/maintenance

Develop weekly reports for Operations Manager & CEO

Preparing for meetings on/off site


JOB REQUIREMENTS:

  • Bachelor’s or Associates degree (preferred not required).
  • 2-3 years’ administrative experience (preferred).
  • Demonstrated experience supporting customer needs with a high level of service.
  • Proficient in MS Office programs including Teams, Word, PowerPoint, and Excel.
  • Exceptional organizational skills and attention to detail required.
  • Excellent verbal and written communication skills.
