Job Purpose:
The Manager Assistant position offers a unique combination of direct and indirect patient-related and support staff related duties. The Manager Assistant reports daily to the “Practice Manager” while running the day to day functions of the medical offices.
Essential Functions:
  • Answer telephones and take initiative in assisting in clerical duties as needed by clinics.
  • Develops & maintains working knowledge of all programs/software used within the clinics.
  • Develops & maintains working knowledge of all functions within the clinics.
  • Regular attendance and punctuality.
  • Sets a positive culture every day in the clinic setting for employees and patients alike.
  • Oversee daily collections and calculations of insurance copays, to include the collection amounts daily.
  • Oversight of medical Prior Authorizations Verification for all payors, in coordination with Front Office, to include submission and notation on accounts and for hospital and ASC facilities.
  • Maximize reimbursement for services with claim review and statement collections.
  • Reconciles end of day financial collections for the offices.
  • Ensure volume goals are meeting established targets, per Provider and overall
  • Oversight of provider documentation accountability
  • Receives and reports all patient feedback to PM to optimize patient retention.
  • Tracks organization of clinic schedules, to include time off requests approved for providers and support staff.
  • Orders non-medical clinic supplies
  • Filing, patient record review and statement processing.
  • Patient scheduling oversight regarding cancelation and no shows, to include collection of fees.
  • Patient Financial follow up – aging statements and processing of payment plans.
  • Perform any other functions as required by management.
Qualifications and Education Requirements
  • Ability to work a flexible schedule (including overtime, and weekends, as necessary).
  • Minimum of 2 years in a responsible position demonstrating all of the required competencies and the implementation of related services.
