Position Description
The Administrative Specialist will provide on-site Administrative Support at Stafford, Virginia. PfM LCES’s mission within Marine Corps Systems Command is to act as the central agent for the research, development, acquisition, and life cycle management of combat support systems for use throughout the Operating Forces and Supporting Establishment of the United States Marine Corps (USMC).  The programs within PfM LCES cover all phases of the Department of Defense (DOD) acquisition process.  The selected individual will be assigned to one of the Program Offices within PfM LCES but may be tasked to support taskings across the whole PfM LCES.
 
Responsibilities
  • Prepare, review, track, and file official correspondence in support of MARCORSYSCOM ​​​
  • Prepare official messages using AMHS in support of MARCORSYSCOM organizations
  •  
  • Review Defense Travel System authorizations and vouchers upon submission by Government travelers from MARCORSYSCOM organizations and provide technical assistance to the user base
  •  
  • Update and maintain personnel rosters monthly per organization
  •  
  • Coordinate and schedule meetings in support of the assigned PM Office
  •  
  • Prepare agendas, meeting minutes, and presentation materials for each meeting attendee
  •  
  • Upload documentation to the SharePoint portal
  •  
  • Manage the organizational tracking database           
  •  
  • Submit morning reports via Marine-On-Line
  •  
  • Inventory, stock, and organize office supplies as required
  •  
  • Prepare new hire welcome aboard packages and process new hire joins into the organization
  •  
  • Develop and maintain email distribution lists via the Marine Corps global outlook mailbox on a daily basis and as required
  •  
  • Forward all hands email distribution notifications as required
  •  
  • Prepare and maintain an organizational chart and table of organization, updated monthly or as required to include employee name competency, position assigned and line number and personnel rosters to include employee name, phone number, seat assignment, information technology asset identification, work phone number, core competency and other tailored information as required and ensure the information is current and accurate

  • Additional duties as assigned
 
Education/Experience
  • Minimum three (3) years experience in administrative support preferably supporting the Marine Corps or other military branch.  Desired background in customer service-related field
  •  
  • Bachelor’s degree in business or a related field may be substituted for two years of experience
  •  
  • Experience with the Defense Travel System preferred SharePoint experience preferred
  •  
  • Experience with PowerPoint preferred
  •  
  • Must be fluent with the Microsoft Office Suite including Word, Excel, Power Point, and Outlook
