POSITION SUMMARY: Responsible for overseeing daily operations in the PT Clinic.  Work directly with PT’s caring for patients, and assisting with patient treatment plans.

MAJOR RESPONSIBILITIES (ESSENTIAL JOB FUNCTIONS):
  • Communicate and provide excellent service to all patients.
  • Assist PT with supervising patient’s exercises and their home programs.
  • Assist with setting patients up on modalities, ensuring patient feels at ease and is moving pain free.
  • Greet and help all patients at front desk: scheduling, collecting payment, addressing issues such as authorization or billing questions. 
  • Answer phone calls and respond to voicemails.
  • Answer all emails related to referrals, authorizations and billing issues.
  • Schedule all new and follow up patients to be seen ASAP.
  • Call patients to reschedule or cancel due to authorization issues (mostly Worker’s Comp), billing issues or over-utilization (Medicare).
  • Call all no shows patients no later than fifteen minutes after their scheduled appointment (same day).
  • Verify all patient insurances, whether they have appointment or not.  This includes all referrals from COA and all outside referrals.
  • Call all patients to inform and explain their insurance benefits.
  • Request, call, fax, process, and follow up with all PT authorizations.
  • Verify every Medicare patient’s utilization for each visit to ensure they are not over cap.
  • Print schedule, super bills, and billing report.  Double check super bills to make sure billing units match report.  Fill in the end of the day report for the billing department.
  • Close the credit card machine, ensure all collections are noted for the billing department at the end of day.
  • Obtain reports and any other pertinent patient information for PT.
  • Order supplies: office, cleaning and clinic.
  • Take care of all equipment maintenance issues.
  • Maintain and clean treatment areas and equipment, and keep office well stocked with supplies.
  • Establish and maintain courteous, communicative and cooperative relations when interacting with other personnel, providers and the public.
  • Adhere to COA Policy and Procedures at all times.
  • Adhere to Safety Policy and Procedures at all times.
  • Adhere to HIPAA Policy and Procedures at all times.

  • Maintain and acceptable attendance record.
  • Perform other duties as assigned by PT.

POSITION REQUIREMENTS: Education, experience and skills

MINIMUM                                            PREFERRED
  • High School graduate. Bachelor of Kinesiology.
  • Basic life support.         Previous PT Aide work experience,
  • Ability to use and reinforce proper     customer service, computer experience. body mechanics.       Bilingual.
  • Knowledge of medical terminology.
  • Customer service oriented.
  • Previous experience working with the public.
  • Good verbal, written and telephone skills.
  • Multi-task oriented and can work in a fast paced environment.
  • Ability to work flexible hours. 
PHYSICAL REQUIREMENTS IN ACCORDANCE WITH ADA:
Carrying/Lifting: Assisting disabled patients, lifting and carrying charts, medical equipment  and supplies.
Standing:  Assisting providers and patients in medical procedures.
Sitting:  Clerical duties, computer work, paperwork, and phones.
Walking:  Assisting patients, transporting and retrieving supplies and equipment, performing PT Aide procedures.
Repetitive Motion: Reaching and grasping, PT Aide procedures, keyboard activities. Visual Acuity: Ability to view computer monitor, read, ability to visualize patient basic assessment.
Environmental Exposure: Patient contact, chemical exposure.
Speaking and Hearing: Communicating with patients and coworkers.
Pay Range
$16.00   None to $18.00   None
