Purpose:
The New Patient Coordinator – Appointment Scheduling position is responsible for scheduling new patient appointments in the appropriate software program. The position also processes related paperwork, makes the initial request for a referral and for necessary medical records, and may be expected to perform other clerical work.
Responsibilities/Essential Functions:
- Answers all incoming phone calls for new patient appointments in a timely and courteous manner.
- Schedules / reschedules new patient appointments in a timely and efficient manner.
- Effectively handles initial conversations with patients regarding financial matter with tact and diplomacy, ensuring the highest level of confidentiality.
- Requests initial referral / authorization and medical records for new patient packets. Prepares and mails thank-you letters and new patient packets in a timely and professional manner.
- Continually updates patient chart information for expired, PRN, and discharged patients, and provides list to billing office in a timely manner. Effectively maintains manual files on patient status changes and notes in chart if patient is in a skilled nursing facility.
- Accurately processes and closes accounts for new patients not presenting for treatment.
- Effectively participates in marketing / outreach efforts to referring physician offices and outside office staff.
- Ensure plants / flowers are ordered for expired patients, as appropriate.
- Accurately updates forms for department and orders supplies as needed.
- Cross-trains in all other New Patient Department positions; maintains a strong working knowledge of each position.
- Effectively performs other clerical duties as assigned.
Experience, Qualifications/Education:
- High school diploma or equivalent required
- Zero to two years related work experience or training; strong customer service background, preferably in healthcare environment Strong customer service background, preferably in health care environment Experience with orientation and training
- Knowledge of computer/telephony support, preferably in a health care environment
- Excellent verbal communication skills
- Competence with computer processing functions and other standard office equipment
- Ability to manage and prioritize multiple tasks
- Ability to calmly and professionally resolve customer issues with diplomacy and tact
- Ability to work independently with minimal supervision
- Strong organizational skills
Working Conditions:
- This position functions primarily indoors in a medical / business environment. Employee may be subject to blood borne pathogens, radiation, bio waste and other medically-related factors, with exposure to moderate noise levels.
- Visual acuity to read and compute screen and paper documents; close and distance vision, peripheral vision depth perception, ability to adjust focus; hearing acuity to converse with staff and customers; ability to walk, stoop, bend, kneel, and lift and move 25 pounds on a regular basis; ability to sit for hours at a time. Employee will be exposed to moderate noise levels, interruptions, and occasionally asked to work evening and weekends as needed.
