Location:  Boston, MA/ On-Site at least 3 times a Week


Description:

As a member of the Finance team, the Accounts Payable(A/P)/T&E Expense Program Specialist will report to the Corporate Controller and support the day-to-day operations of the Finance department. Aveo Oncology is seeking an experienced, career-professional A/P specialist with additional experience working with and running point on Travel and Entertainment (T&E) related Expense programs.  The successful candidate will be a self-starter willing to roll up their sleeves. Responsibilities:
  • Manage full cycle A/P including vendor setup, proper general ledger coding, invoice processing and approvals, weekly vendor payment runs and vendor inquiries
  • Ensure timely processing and payment of invoices
  • Maintain W-9s and banking information for vendors, ensuring vendors are not paid until W-9 is received
  • Develop and maintain relationships with internal and external clients and vendors through proactive and effective communications
  • Responsible for administering and maintaining the organization’s T&E Expense Reporting System (Concur)
  • Review T&E reports for accuracy and compliance to the company’s T&E policies, as well as compliance to Sunshine Act reporting requirements
  • Record expense reimbursements from Concur and MOTUS – auto reimbursement program and support-related management reporting.
  • Analyze and accurately code invoices to related cost center, GL account, program, and project
  • Assist in the preparation of corporate partnership invoices
  • Support the monthly closing process, including preparation of accounts payable reconciliation
  • Manage digital document repository system to ensure invoices are organized and saved as supporting documentation for month-end close.
  • Assist with Purchase Order setups
  • Assist in maintaining the internal controls environment and Sarbanes-Oxley compliance
  • Assist with the quarterly reviews, annual audits, and Sarbanes-Oxley compliance testing by internal /external auditors
  • Manage annual 1099 process
  • Assist with ad-hoc projects.

Qualifications:
  • High School Diploma or equivalent; Coursework in Bookkeeping and/or Accounting related subjects desirable
  • 3 + years of relevant A/P and T&E expense reporting experience, preferably in a publicly traded, commercial phase life sciences company or similar.
  • Experience processing and related activities for 500+ invoices per month
  • Demonstrated proficiency in MS Office applications, Excel, Word Outlook and various report writers
  •  Demonstrated proficiency using financial modules within ERP Systems is required – NetSuite experience is helpful but not required
  • Demonstrated proficiency working in Expense reporting software – Concur is highly desirable but not required
  • Strong oral and written communication and organizational skills
  • Must be a self-starter capable of delivering work accurately and timely in an environment with multiple hard deadlines with general supervision
  • Ability to handle and maintain confidential data/information
  • Experience with Sunshine Act and related audit and reporting requirements helpful
