Job Purpose:
The Medical Administrative and Market Outreach Manager offers a unique combination of direct and indirect patient-related and support staff related duties, as well as managing community engagement and referral growth. This position assists and reports daily to the Regional Director of Operations, while running the day to day functions of the medical office.
Essential Functions:
  • Develops & maintains working knowledge of all programs/software used within the clinic.
  • Develops & maintains working knowledge of all functions within the clinic.
  • Regular attendance and punctuality.
  • Sets a positive tone every day in the clinic setting for employees and patients alike.
  • Oversee daily collections and calculations of insurance copays, to include the collection amounts daily.
  • Answer telephones and take initiative in assisting in clerical duties as needed by clinic.
  • Completes employee performance reviews of all clerical and clinical employees in the office.
  • Ensure # of NP / Month is meeting established targets, per Provider.
  • Receives and reports all patient feedback to supervisor, to optimize patient retention.
  • Tracks organization of clinic schedules, to include time off requests approved for providers and support staff.
  • Orders non-medical clinic supplies
  • Patient scheduling oversight regarding cancelation, no shows and general scheduling compliance. 
  • Perform any other functions as required by management.
  • Service existing physician relationships and develop new physician relationships.
  • Analyze market opportunities and develop strategic sales plans for assigned geography.
  • Focus marketing efforts by studying existing referral centers and opportunities for expansion.
  • Collect and report to management quantitative and qualitative data from marketing campaigns.
  • Coordinate community and marketing events to promote the Center.
  • Distribute information and educate healthcare providers about our services to the community, physicians, patients, nurses, clinicians and other medical staff.
  • Organize marketing events and public education outreach events; to include the development and sustainability of annual community events, both new and existing.
Qualifications and Education Requirements
  • Ability to work a flexible schedule (including overtime, and weekends, as necessary).
  • Minimum of 2 years in a responsible position demonstrating all of the required competencies and the implementation of related services.
Required Competencies
Exceptional interpersonal skills, decision-making skills and organization. Ability to write and communicate well. Empathetic, open-minded, forward-thinking and accountable. Experience with excel spreadsheets. Time management skills, flexibility and able to reprioritize various tasks on a weekly basis. Critical thinking skills; one cannot train or practice for every scenario and the ability to pivot and maintain efficiency and optimism is mandatory.
