POSITION SUMMARY

The Executive Administrator will perform various administrative tasks, primarily by providing high-level support to the Chief Executive Officer. As an Executive Administrator, the individuals' primary responsibilities will include managing the CEO's calendar, coordinating a high volume of internal and external meetings, making travel arrangements, preparing expense reports, and coordinating functions.

To be successful in this role, the Executive Administrator should be well-organized, have excellent time management skills, and sometimes act without guidance, utilizing good judgment. This individual must demonstrate an ability to prioritize and manage multiple projects simultaneously by providing personalized and timely support to the CEO and their teams.

The Executive Administrator will serve as a liaison between the CEO and other departments within the organization. Additionally, this individual should possess the skills necessary to engage with external stakeholders and high-profile individuals.

Ultimately, this person must contribute to the organization's efficiency by providing personalized and guided support to the CEO and maintaining relationships with stakeholders on the CEO's behalf to achieve organizational goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:
• Managing CEO calendar as a delegate, requiring interaction with internal and external executives and assistants to schedule a variety of business meetings
• Handling incoming and outgoing phone and electronic communications on behalf of CEO; routing incoming calls to appropriate party quickly and efficiently
• Act as point of contact among executives, employees, and other external partners
• Establish travel arrangements and accommodations for the CEO, as needed
• Create and format internal and external verbal and written communication – memos, emails, presentations, reports
• The gateway between external stakeholders and the CEO as a relationship manager
• Initiate and attend CEO meetings, manage agenda, and take minutes
• Plan and facilitate team, special events, and projects
• Using various software applications such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate, and/or format data and/or reports
• Handle CEO expenditures
• Maintain the highest level of confidentiality
• Exercise administrative judgment; assuming responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service with functional areas
• Performing other duties as assigned

Minimum Qualifications (Knowledge, Skills, and Abilities)
• 5+ years of experience as an Executive Assistant, Operations Coordinator, Relationship Manager or similar role
• Bachelor's degree required, Master's degree preferred
• Proficiency with Microsoft Teams and Microsoft applications, such as Excel, Word, PowerPoint, and Outlook
• Demonstrate interpersonal skills and proficiency in business vocabulary to effectively represent the executive and the company to outside parties
• Excellent verbal, interpersonal, oral, and written communication skills
• Excellent writing, proofreading, and editing skills
• The ability to maintain the highest level of integrity and confidentiality
• Comfortable working in a high-energy, fast-paced environment, where no two days are the same!
