ABOUT THE POSITION
The Billing Manager oversees the invoicing function within the North America Shared Service Center, which operates remotely out of our individual sites, including management of the Billing Team. This individual will be responsible for the day-to-day coordination and execution of the billing processes and transactions. They will direct workload to designated queues within the shared services to maintain delivery according to the agreed upon Service-Level Agreements SLAs. This role is key to the success of the shared service support provided to our business units.
Deliverables & Responsibilities- Serve as the Subject Matter Expert (SME) for Shared Services Billing area to lead customers invoice generation, management, error resolution, productivity, key performance metrics (KPIs), improvement and reporting.
- Identify and implement invoicing processes improvements establishing a continuous improvement program for Shared Services Billing area.
- Remotely lead a multi-site billing team of direct reports, establishing: SMART goals, productivity and quality monitoring, development, and coaching.
- Establish a training program based on billing team needs to provide best in class service for all Astec areas and especially our customers.
- Subject Matter Expert for ERP Oracle implementation representing Billing and driving requirements or enhancements inclusive in governance meetings.
- Establish, track, manage and report in timely basis; key performance indicators (or KPIs), dashboards, benchmark metrics, and service-level agreements (SLAs).
- Identify monthly reporting package to communicate performance and results to leadership.
- First line of defense to resolve customer billing inquiries/issues and liaise with Accounts Receivables (AR) to communicate any needed information to support customer reconciliation balances.
- Implement an escalation plan for resolve billing issues in a timely manner, driving customer satisfaction.
- Assist internal auditors, by providing financial and SOX documentation.
- Lead Billing remedy tickets with IT support teams to prioritize billing issues to drive ERP performance solution, enhancements and/or remediate inefficiencies.
- Participate in Quarterly Oracle Cloud upgrade testing and User Acceptance Testing (UAT or Functional Testing) in accordance IT/Oracle teams or billing training program.
To be successful in this role, your experience and competencies are:- Bachelor’s Degree in Accounting/Finance, preferred.
- Minimum of four years leading billing for multi-sites company, required
- Experience leading AR or billing under Shared Service organization, required
- Working knowledge of Microsoft Office (including Windows, Word, Excel, etc.)
- Experience in ERP implementations (Oracle Cloud ERP is a plus)
- High experience representing AR or billing in IT/ERP governance meetings.
- Experience leading implementation of SOX controls under Shared Service, required.
- Continuous improvement skills (Six Sigma, Kepner T - plus)
- Experience implementing KPIs, process improvements, ERP enhancements for billing.
- Highly organized, able to handle multiple tasks changing directions when necessary.
- Strong leadership skills to remotely lead the billing team to be best-in-class.
- Strong communication, organization, prioritization and problem-solving skills to work effectively in a fast-paced environment.
- Demonstrated dependability, be detail-oriented and have a high degree of accuracy.
- Remotely manage a team of 8-10 direct reports
