ABOUT THE ROLE 

Reporting to the Managing Director, Development, Events & Stewardship, the Assistant Director, Development & Signature Events  will join the Development & Events team.  The Assistant Director will serve as the production lead on BCRF’s high-profile Signature Events in New York, which include the Hot Pink Party black-tie gala and the Symposium & Awards Luncheon, and will play a key role in the comprehensive planning and fundraising around these events. This position’s responsibilities include high-level event production and management, staff and vendor oversight, financial management, and front-line fundraising in conjunction with event leadership. 

The Assistant Director supervises a team of 2 staff members. 
 
This position is based in New York, New York.  BCRF currently requires staff to work onsite a minimum of three days per week.  

 
Primary Responsibilities 

  • Oversee all Signature Event planning including: 

  • Set attainable goals and outline strategy for timely completion. 

  • Secure dates and venues for all events. 

  • Work closely with D&E leadership to manage key event stakeholders. 

  • Lead strategy and formulation of event timelines, run of show, and production components with vendors and partners including event script, seating, PR plan and more. 

  • Work with event leadership on fundraising plans and management of personalized invitation lists and outreach. 

  • Manage relationships with Signature event corporate sponsors to execute benefits, activation plans, and engagement opportunities. 

  • Maintain a detailed written task-tracker/timeline to ensure clear flow of communication and clearly set expectations. 

  • Work closely with Manager, Development & Events Communications around all event invitations, communications, and any collateral, as well as with other colleagues on any videos, animation, or other informational pieces for the event. 

  • Manage drafting of pre-invitation fundraising letters, event scripts, and more as needed. 

  • Assist in the creation of the Hot Pink Party Scientific Auction Appeal Video. Work with team members across departments and select members of the SAB to confirm the theme, and assist in streamlining the production and participating in the editing process 

  • Ensure strategic information is captured and displayed in compelling manner for unique event microsites.  

  • Oversee production and the seamless execution of Signature Events including: 

  • Create and manage event timelines, production schedules, day of event staffing, and oversee on-site production when necessary. 

  • Oversee event vendors and production partners, including audio visual, event designers, floral partners, entertainment, security, venue representatives, caterers, and others.  

  • Coordinate event planning/strategy meetings with press and PR teams, internal BCRF teammates, and key vendors. 

  • Oversee event itineraries for all VIP speakers, participating honorees, A-list talent and performers, including transportation and lodging.  

  • Assist with strategy and logistics of on-site fundraising, including raffle, live auction, text-to-pledge, “Time for Research” auction, other on-site tribute gift opportunities  

  • Provide management for the following functions: 

  • Supervise and mentor direct reports, including initially the Senior Manager, Development & Signature Events and the Manager, Development and Events, utilizing an empathetic and supportive leadership style to maintain a high level of performance across the department. 

  • Identify, hire and oversee all Signature Events vendors. 

  • Manage event budgets and strategic fundraising tools including projected gift pyramids, renewal tracking, donor and attendee retention rates, and year-over-year comparisons.  

  • Assume other duties as assigned. 

 

ABOUT YOU  

You are detail-oriented, proactive, positive, a team player, confident, articulate, personable and friendly.  You take pride in representing the organization in a professional manner when communicating with major donors, vendor partners and the Foundation’s constituency. You  have a passion for the mission and work of BCRF.     

In addition, you have the following qualifications and experience: 

  • Minimum of eight years of progressively responsible event management and production experience; experience working in event management for a nonprofit organization preferred 

  • Minimum of four years of experience supervising staff 

  • Computer and internet proficient, with the ability to learn proprietary computer databases 

  • Proficiency with donor CRM systems with a strong competency in Raiser’s Edge  

  • Highly skilled in Word, Excel, and PowerPoint 

  • Exercise judgment and make important decisions when dealing with the Foundation’s volunteer event leadership and on-site during events 

  • Prioritize tasks effectively demonstrate initiative, and independently manage projects from start to finish  

  • Think strategically and perform across the event planning and fundraising spectrum, including prospect identification, sponsorship proposal creation and donor stewardship 

  • Build and sustain productive relationships with a wide range of constituents  

  • Manage and work diplomatically with varying committees and sponsors 

  • Communicate effectively and graciously orally and in writing.  

  • Ability to handle confidential matters with discretion. 

  • Ability to lift, move or carry up to 20 pounds on an occasional basis; ability to push or pull a cart weighing up to 100 pounds 

 

Travel: 
This role requires travel outside the New York Metro area approximately 4-6 times per year.  

 
Compensation and Benefits: 
This is a full-time exempt role.  The salary range for this role is $100,000 to $115,000.  Our compensation packages include an exceptional benefits package focusing on employe physical, mental and financial wellness.  More specifically we offer

  • 401K, with up to a 5% match each pay period; employee contributions and any match are immediately fully vested

  • Paid Time Off including 

  • 15 days of annual vacation time in first year of employment, increasing with length of service 

  • 7 days of annual paid sick time 

  • Paid holidays along with BCRF wide half days and summer Fridays
