The Residency Program Manager plays a pivotal role in supporting the day-to-day operations and administrative functions of a community-based Family Medicine Residency Program.
Essential Duties and Responsibilities include the following:- Coordinates daily operations of the residency program (directly or as delegated to departmental staff).
- Collaborate with the Program Director to ensure the residency curriculum meets accreditation and institutional standards.
- Compiles and reports data for surveys, questionnaires, census reports, accreditation reports, and other forms and documents required by internal and external agencies as directed by the Program Director.
- Compiles materials, takes minutes, and tracks follow-up activities for board meetings and all related committees.
- Coordinates all resident interviews, site tours, and other social activities with applicants.
- Coordinates resident rotation schedules, call schedules, and didactic sessions ensuring smooth rotation transitions and adequate supervision.
- Coordinates special events such as graduation ceremonies, scholars’ day, and resident retreats.
- Familiarity with ACGME (Accreditation Council for Graduate Medical Education) and/or other accreditation requirements for residency programs.
- Maintain knowledge of current medical licensure requirements, immigration policies, ACGME accreditation and institutional requirements
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort learning new software systems (e.g., residency management software).
- Excellent communication and interpersonal skills, with the ability to interact professionally with a diverse range of stakeholders.
- Strong organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Detail-oriented, proactive, and capable of working independently as well as part of a team.
- Ability to handle confidential information with discretion and maintain professionalism in sensitive situations.
Education/Experience:
Bachelor’s degree in Business, Healthcare Administration, Education, or a related field required.
Minimum of 2–3 years of administrative experience in an academic or healthcare setting required; experience in graduate medical education preferred.
