In addition to general administrative duties, the Support Specialist (Administrative Support Specialist/Proofreader) spends a significant amount of time proofreading specialized reports, proposals, and other documentation. The individual performs quality assurance and quality control (QA/QC) by ensuring correct grammar, usage, spelling, punctuation, as well as formatting and consistency for all project-related client deliverables and proposals. The position requires an individual with strong proofreading skills and attention to detail.
The Support Specialist is a professional that demonstrates strong leadership, and exceptional administrative, organizational, and communication skills This individual must be flexible and capable of balancing multiple efforts with tight deadlines. DUTIES AND RESPONSIBILITIES:
- Provide administrative support to team leaders and project managers in our fast-paced environment and growing organization
- Edit and read proposals, reports, PowerPoint presentations, and other correspondence content for spelling and grammatical accuracy, and format according to defined standards and requirements
- Produce timely, accurate, and high-quality work in the most efficient and productive manner to support business operations which includes the final production, assembly, and routing of documents to internal lead or for external delivery
- Maintain exceptional quality control and attention to detail in the face of deadlines
- Support content review and file maintenance of proposal templates and supporting content
- Participate in conference calls and transcribe meeting minutes as requested
- Coordinate and administer webinars, videoconferencing, and online meetings
- Continually assess and revise how assignments are accomplished to improve productivity and quality, meet and/or exceed standards and the needs of internal and external clients
- Work independently and efficiently with minimal direction and supervision
- Answer and route phone calls
- Utilize independent judgement when preparing response on behalf of the firm on letter proposal requirements.
- Exercise decision making when responding to specific requirements in an RFP.
- Perform other duties as requested
SUPERVISORY RESPONSIBILITIES:
- This job has no supervisory responsibilities
QUALIFICATIONS:
- Associate's Degree (AA) or equivalent from a two-year college or technical school is preferred
- Minimum of 5 years of administrative office support experience with a demonstrated history of working in a professional corporate/business environment
- Certificates, licenses and registrations required: None Required
- Computer skills required: Proficient in Microsoft Office
- Other skills required:
- Ability to proofread large and complex documents and reports, and to work with authors to provide QA/QC prior to delivery and submittal
- Exceptional organizational and communication skills
- Ability to multitask and realign priorities as needed
- A positive attitude with a passion for attention to detail
- Valid Driver’s License
