Job Summary: 

The Administrative Assistant is responsible for the general day to day administrative operations of the office. This position will also support the operations team. 

 

Essential Duties & Responsibilities:  

  • Assist with answering phones and scheduling  

  • Assist leadership with daily tasks  

  • Confirm appointments with clients and conduct follow up as needed  

  • Maintain adequate supplies and food levels in the office kitchen  

  • Order office supplies as needed while remaining fiscally responsible  

  • Maintain company vehicle registrations  

  • Other office duties as assigned   

  • Send out initial emailed request for payment to the customer   

  • Accept client payments and post payments into inventory and Quickbooks  

  • Maintain accurate and timely records in the inventory software and Quickbooks 

  • Clearly communicate statuses and foreseen issues to supervisor  

  • Coordinate with applicable team member to assist with customer questions regarding payments 

  • This role may assist with AR duties.

 

 

Skills and Abilities Required:  

  • Minimum High School Diploma or GED  

  • Strong customer service skills  

  • Microsoft Office Suite – Excel, Word, Outlook  

  • Attention to detail  

  • Must be able to interact with managers and employees  

  • Must be able to prioritize work  

  • Self-starter and be able to work independently  

  • Technical Capacity  

  • Communication Proficiency  

  • Ethical Conduct  

  • Time Management  

 

Skills and Abilities Preferred: 

  • Minimum 2 years of Quickbooks experience strongly preferred  

  • Minimum 2 years of Netsuite experience preferred
