Receptionist
We are seeking an experienced Receptionist for a residential community of 501 units in Somerville, MA. The Receptionist maintains the operations of the office and assists the staff. This position ensures that the appearance and physical condition of the office meets property management requirements.
Responsibilities
· Answer phones throughout the day, forward all phone correspondence to the proper department/employee.
· Greet visitors, vendors, residents and direct them to the proper place or person.
· Manage all incoming and outgoing mail to ensure correspondence is delivered/sent in a timely manner.
· Conduct complete inventory of office supplies needed by office staff at least once a month. Order any office supplies needed.
· Provide immediate action on any urgent/emergency call by contacting the appropriate department or person.
· Monitor/maintain access system, parking protocol, and resident storage.
· File documents as requested and ensure delivery of resident notices.
· Monitor all cleaning needed in the office and communicate needs to the cleaning personnel.
· Assist with work order documentation.
· Communicate with tenants, vendors, and co-workers to complete assignments.
· May be required to assist Property Manager with special projects as needed.
Qualifications & Experience
· Minimum 2 years’ experience in customer service/reception.
· High school diploma or GED is required.
· Must have the ability to deal efficiently with residents and the public.
· Ability to maintain composure, communicate clearly, and keep work areas organized.
· Ability to relate to and work effectively with individuals from diverse backgrounds.
· Bilingual in Spanish is a plus.
Physical Requirements
· Ability to hear phone tones, communicate with callers, and take messages by hand.
· Occasional lifting of objects up to 10 pounds.
· Occasional bending, pulling, and document filing.
Additional Details
Job Type: Full-time; 40 hours per week
Compensation: $22.00-$24.00 per hour
Schedule: Monday through Friday, 8am-5pm, 1 hour lunch
Work Location: In-person
