FLSA Status: Non-Exempt
Compensation: $23.00 hourly
Program Hours:24 to 30 hours (schedule to be determined)
Supervisory Responsibility: None
Position Summary
This part-time database assistant will be primarily responsible for the day-to-day management and maintenance of an organization's donor database. This role is crucial for ensuring data accuracy, which directly supports fundraising, communication, and reporting efforts. Will work in development, and closely with finance, and other teams to ensure that all data is current, correct, and accessible. This position reports to Development Manager and CDO.
Essential Duties and Responsibilities
Data Entry and Management:
- Process and enter donations, donor information, and other constituent data into the database promptly and accurately. Update and maintain existing records to ensure contact and biographical information is current.
Gift Processing and Acknowledgment:
- Process financial gifts, including checks, online payments, pledges, and stock gifts. Responsible for generating and sending timely acknowledgment letters and receipts to donors.
Reporting and Analysis:
- Generates reports and queries to support fundraising campaigns, track progress toward goals, and analyze donor engagement.
- Create mailing lists for appeals and analyze data for key metrics like donor retention.
Database Maintenance and Hygiene:
- Perform routine data cleanup tasks like deduplication (removing duplicate records) and address updates to maintain the database's overall health and integrity.
Team Collaboration:
Work with other departments, such as finance and communications, to reconcile donation records, provide data for mailings, and assist with special projects and events. Attend and participate in skills development in donor management systems.
Other Duties
- Comply with ECF’s Injury and Illness Prevention Program. Ensure safe use and operation of tools and/or equipment.
- Comply with ECF policies and procedures, including mandated reporting requirements.
- Regular and reliable attendance.
- Perform other duties as assigned.
Qualifications
Education
Bachelor’s degree in computer science, Information Technology or equivalent experience
Experience
- Previous experience in database management or related experience inputting and processing data for statistical and reporting purposes
Technical Skills
- Familiarity with Donor database programs (Donor Perfect, Raiser’s Edge)
- Knowledge of database security, backup and recovery procedures
- Experience with data entry and data integrity best practices
Soft Skills
- Excellent attention to detail Data Entry and Management
- A high level of accuracy
- Strong problem-solving and analytical skills
- Excellent written and verbal communication skills
- Ability to work independently and manage time effectively.
Requirements
- Driving is an essential function of this position. Proof of valid California driver’s license, reliable transportation, evidence of state-mandated car insurance, and insurable driving record are required. While driving for work, should a need arise, the employee’s insurance is deemed primary and ECF’s coverage is secondary.
Driving Disclaimer- Employees driving for company business must maintain a clean record and operate vehicles safely and responsibly. Company vehicles will be monitored and activity recorded. Violations of the driving policy may result in disciplinary action, including suspension of driving privileges, reassignment, or termination.
- Provide evidence of a negative TB test initially and every three years thereafter.
Work Environment
Work site is located in a building shared with a school for students (grades K–12th) who have varying degrees of learning, behavioral, emotional, and developmental disabilities. Employee may encounter students who are in crisis, exhibiting emotional/psychological distress, or behaving in an aggressive manner. Environment may include frequent interruptions, loud noise, odors, varying indoor temperature, and drafts. May encounter inclement weather when traveling for ECF business.
