SUMMARY: The Advertising Sales Assistant plays a pivotal role in providing administrative support for the Ad Sales team.  This role participates in the development and execution of linear ad clients, ensuring all elements related to the account are coordinated, scheduled, and executed timely and correctly. Effective communication skills to successfully execute our agreements are a key component of this role. An eye for detail, strong organization, and project coordination skills are essential.

ESSENTIAL DUTIES & RESPONSIBILITIES:

As a Sales Assistant on our linear Ad Sales team, you’ll be an essential contributor to both account management and the smooth execution of daily operations. This entry-level role is designed for individuals eager to launch their careers in media sales, offering hands-on experience, mentorship, and clear pathways for professional growth within a dynamic and supportive team environment.  The essential duties and responsibilities are as follows:

  • Maintain agency accounts including upfront and scatter order entry, coordinating inventory moves/flighting, handling product allocations, and updating flowcharts and change notices to ensure seamless campaign execution.
  • Communicate daily with the Traffic Department to confirm accurate booking and delivery of all deal components.
  • Create and maintain quarterly flighting grids to track campaign schedules.
  • Conduct weekly revenue checks and monitor preemptions to ensure accuracy of all orders.
  • Collaborate with agency buyers to maintain the integrity of media buys and resolve any discrepancies promptly.
  • Support Account Executives, Sales Planners, and Pricing/Inventory teams by preparing and editing presentations, spreadsheets, and other sales materials.
  • Compile and organize marketplace data, account overviews, and special project materials to support the sales team’s strategic initiatives.
  • Take on additional tasks and projects as needed to contribute to the overall success of the Ad Sales team.

EDUCATION/EXPERIENCE:

  • Bachelor's degree in a relevant field or equivalent combination of education and experience.
  • 1-2 years related experience and/or training.
  • Media Buying or Media Sales Assistant experience is a plus.

  • Oral & Written Communication: Demonstrates outstanding oral and written communication skills, engaging effectively in one-on-one conversations, small group discussions, and large presentations - including external public speaking. Consistently produces clear, concise, and well-structured written materials, using appropriate vocabulary and grammar to convey information accurately and professionally.
  • Judgment and Decision Making: Consistent logic, rationality, and objectivity in decision-making. Neither indecisive nor hip-shooter. Generates sensible, realistic, practical solutions to problems. Exhibits a high level of integrity, earning the trust of coworkers and putting organization and team above self-interests; High level of editorial judgment, creativity, and attention to detail.

TECHNICAL SKILLS

To perform this job successfully, in addition to the skills noted above an individual must be proficient with Microsoft Outlook, Word, Excel and the following:

  • Technical Skills: Demonstrates strong proficiency in essential business systems and process tools, including use of Microsoft Excel and Word for data analysis, reporting, and document creation. Quickly adapts to new software and technologies as needed for the role (DealMaker and Wide Orbit). Leverages these technical skills to support efficient, high-quality work and drive continuous improvement in daily operations.

This is a hybrid job role, with a combination of telecommuting workdays and in-office workdays.
