The Project Coordinator is a key operational role responsible for ensuring employees deliver high-quality services across multiple federal government contracts. This position manages day-to-day personnel coordination, prime and subcontractor compliance, and administrative activities required to keep contract operations running smoothly.
This role functions as a central controller of workforce operations—supervising employees across diverse labor categories, overseeing timesheets and deliverables, approving travel, partnering for HR issue navigation, and ensuring contractual and invoice compliance. The Project Coordinator will manage a workforce of approximately 50–85 employees and must be highly responsive, organized, and comfortable communicating frequently by phone, email, and Teams instant messaging during traditional business hours and outside business hours.

· Supervise and support employees across multiple labor categories, ensuring clarity of duties, performance expectations, and contract requirements.
· Serve as the primary point of contact for employee questions, issues, and administrative needs.
· Prepare, review, and approve employee timesheets, ensuring accuracy and compliance with contract terms.
· Coordinate and manage travel arrangements for employees as required by contract activities.
· Partner with HR to address personnel issues, employee relations matters, and compliance requirements.
· Monitor staffing levels, resource allocation, and workload across contracts; identify and communicate gaps or risks.
· Ensure adherence to federal government contracting requirements, including documentation, reporting, and deliverable compliance.
· Review and validate invoice-related data, timesheet accuracy, and deliverable completion prior to submission.
· Maintain detailed contract records, workforce documentation, and operational logs.
· Track and report on key operational metrics, risks, and performance indicators.
· Coordinate project schedules, milestones, and resource alignment in support of contract delivery.
· Facilitate communication among employees, subcontractors, clients, and internal teams.
· Operate and lead meetings, prepare agendas, and document action items and decisions.
· Prepare and distribute operational updates, risk notices, and compliance summaries.
· Perform a wide range of administrative tasks to support daily operations.
· Performs other duties as assigned.
Travel
This position requires occasional travel (0-25%)
Work Schedule As discussed with supervisor.
Qualifications
· Bachelor’s degree in business, project management, or related field; OR equivalent combination of education and experience.
· 7 years of experience required, 10 years preferred.
· PMP certification required.
· Prior federal government contracting experience required.
· Experience supervising 50–100 employees across multiple labor categories and locations.
· Demonstrated experience coordinating or managing personnel on service-based contracts.
· Strong administrative and organizational skills with the ability to prioritize in a fast-paced environment.
· Excellent communication and interpersonal skills; must be highly comfortable using the phone, Teams instant messaging, and video conferencing.
· Experience approving timesheets with multiple labor codes.
· Experience coordinating and approving employee travel within budget constraints.
· Ability to navigate HR issues in partnership with HR staff.
· Strong attention to detail, particularly regarding invoice and deliverable compliance.
· Proficiency in Microsoft Office including Visio.
· Experience in a PMO environment.
· Must provide documentation of eligibility to work in the U.S. without employer sponsorship.
· Must be able to pass a background screening.
Salary
- $70,000.00 to $85,000.00 annually
