Senior Systems Administrator Consultant

Position Overview:
The Senior Systems Administrator (Consultant) is responsible for overseeing all IT systems, SaaS platforms, documentation, and user support for a 15‑user federal contracting and workforce consulting organization. This includes ownership of the IT Handbook, SOPs, system integrations, security compliance, and Help Desk operations. The consultant serves as the company's primary IT function. This role also owns the system architecture, data layer, cross-platform integrations, and development workflow strategy to ensure all applications operate cohesively. The consultant will identify when vendor escalation is required and coordinate resolution while maintaining internal technical leadership.
Responsibilities:
- Own, maintain, and update the IT Handbook, SOPs, and all IT documentation.
- Administer all SaaS platforms, including Google Workspace, Microsoft 360, Smartsheet, SharePoint, VOIP, Paylocity, QuickBooks Online, Harvest, and related integrations. This includes occasional SaaS migrations.
- Manage onboarding/offboarding workflow, including email setup, device provisioning, access configuration, VOIP setup, and secure termination procedures.
- Support marketing systems including website (Framer) and social platforms as needed.
- Oversee IT security practices aligned to ISO 9001:2015 and federal contractor expectations (password policies, MFA, backups, DR/BCP documentation).
- Provide Tier 1–2 Help Desk support, escalating to SaaS vendors when required.
- Maintain asset inventory, warranty tracking, and secure configuration of laptops.
- Ensure all systems documentation is up to date and stored in the company’s shared drive.
- Recommend improvements to automation, system integrations, and workflow efficiency.
- Monitor system health and resolve issues proactively.
- Own strategic data architecture, system interoperability, permissions models, record consistency, and data governance.
- Troubleshoot API-based integrations, sync failures, data flow issues, and platform conflicts before any escalation.
- Coordinate with SaaS vendors only when specialized intervention is required while retaining responsibility for internal accountability and solution paths.
Deliverables:
- Present Monthly IT Status Report (tickets handled, incidents, change log, risks, improvements).
- Update IT Handbook and SOP library (quarterly review and updates).
- Complete onboarding/offboarding packages for each user event.
- Ensuring asset inventory and IT system maps are updated monthly.
- Routine security compliance checklist (password policies, MFA, backups, DR documentation).
- Quarterly update of Data flow maps, integration dependency log, and architectural change documentation.
Qualifications Required:
- Prior experience supporting IT for a small business, ideally <25 users.
- Experience providing Tier 1-2 help desk support.
- Ability to work as a sole IT resource.
- Demonstrated ability to work without escalation layers.
- Hands-on experience administering SaaS-based environments (SaaS user provisioning and permissions)
- Must have direct experience administering Google Workspace and Microsoft 365.
- Experience with Cloud-based system configuration without on-prem reliance.
- Experience managing onboarding/offboarding processes (account provisioning, access control, device configuration, and secure deprovisioning)
- Experience with security and compliance awareness appropriate for a federal contractor (MFA, password policies, basic DR/business continuity practices, and secure data handling).
- Strong communication skills, with the ability to clearly communicate with non-technical users.
