Mission Critical Partners (“MCP”) is seeking an experienced Contract Administrator to manage and support the full lifecycle of contracts within a fast-growing professional and managed services firm serving state and local government agencies. With approximately 400 active contracts and over 80 contract vehicles—including GSA, NASPO ValuePoint, and HGAC Buy—the Contract Administrator plays a crucial role in ensuring compliance, accuracy, and operational efficiency across our portfolio.
The ideal candidate is detail-oriented, highly organized, and comfortable operating in a dynamic environment where precision, deadlines, and stakeholder coordination are critical. DUTIES AND RESPONSIBILITIES:
Contract Lifecycle Management
- Administer and maintain the full lifecycle of contracts, amendments, task orders and renewals for approximately 400 active contracts across fifty states
- Ensure timely review, routing, and execution of contract documents in accordance with company policy, legal requirements, and client expectations
- Monitor, track and report contract expirations, renewals, option periods, and key deadlines; develop and maintain an accurate contract calendar to ensure stakeholder alignment
- Confirm MCP compliance with contract terms, including, but not limited to insurance requirements, tax clearances, state/local jurisdiction registrations and internal policy/operational conformity
- Lead administrative execution of contracts, non-disclosure agreements, teaming agreements, sub-contractor agreements, change orders, 1099 agreements
Compliance and Contract Vehicle Support
- Ensure adherence to federal, state, and local procurement requirements across major contract vehicles including GSA, NASPO HGAC Buy, and various state-specific purchasing vehicles
- Maintain documentation, pricing, and administrative requirements for contract vehicle renewals and audits
- Support compliance reviews, contract reporting, and required certifications
- Partner with business development and proposal teams to ensure that MCP is efficiently pursuing and utilizing available vehicles
- Engage with Finance team and execution team to ensure contract terms are appropriately reflected in MCP’s enterprise resource planning system – Deltek Vantagepoint
- Periodically interface with external legal counsel to evaluate complex contracts and conduct annual reviews of standard contract language and templates
- Orchestrate periodic reviews (at least annually) of major contract vehicle language to ensure MCP remains in compliance
- Ensure that any discrepancies between proposals and contracts are appropriate and understood by contract stakeholders
Proposals, Pricing and Modifications
- Collaborate with proposal, finance and business development teams to support contract-related components of RFP responses
- Assist in the preparation of contract modifications, pricing updates, and scope changes in alignment with procurement rules and internal approvals
- Review proposal terms and conditions to identify risks, exceptions, or compliance issues
Contract Repository & Documentation
- Maintain central repository for contract documentation
- Develop and maintain contract templates, checklists, and standardized language to streamline processes
- Evaluate and recommend new technologies and tools to continuously improve the stakeholder experience
Cross-Functional Collaboration
- Partner with operations, project managers, external legal counsel, divisional and executive leadership to resolve contract issues and ensure compliance with contractual commitments
- Engage with external advisors on certain contract vehicles, such as the GSA Multiple Award Schedule
- Provide guidance and training to internal teams on contract requirements and best practices
- Partner with insurance partners to renegotiate rates annually and ensure insurance terms are acceptable on a contract-by-contract basis
- Willingness to travel up to 5% of the time
- Assists in the tracking and coordination of labor rate tables
- Other responsibilities assigned by CFO
SUPERVISORY RESPONSIBILITIES:
- This position has no current supervisory responsibilities, but this could evolve as the Company grows.
QUALIFICATIONS:
Required
- 5-7 years of experience in contract administration, preferably within government contracting or professional services
- Working knowledge of state and local procurement rules
- Strong competency with Microsoft Office Suite
Preferred
- Experience supporting GSA Multiple Award Schedule, NASPO ValuePoint and HGAC Buy, or other cooperative purchasing vehicles
- Familiarity with Federal Acquisition Regulations (FAR)
- Exposure to professional services pricing models (Time and Materials (T&M), fixed price, labor categories, milestones, etc.
- Ability to interpret complex terms and conditions and identify potential risks
- Knowledge of contract management tools, templates, methods and processes
