Your New Job

Job Summary:
Our operating unit provides full-service construction, repair and emergency services related to Cable TV, Telephone, Fiber-Optic communications, and Power construction including underground trenching, plowing, missile, and directional boring and aerial construction. And we are looking for an Office Assistant to join our team.
The Office Assistant plays a vital role in ensuring the smooth operation of the office by providing administrative support to various departments.

Job Responsibilities:
This role is responsible for answering phones, managing schedules, organizing files, and maintaining office supplies. The Office Assistant will assist in preparing documents, reports, and presentations, as well as support staff with travel arrangements, event planning, and other clerical duties.
The position also involves assisting with special projects, including subcontractor onboarding, where they assess qualifications, verify insurance and licenses, and ensure compliance with safety regulations. Strong organizational skills, attention to detail, and the ability to handle multiple tasks are essential for success in this role.

  • Clerical Support
    • Answer and direct phone calls and inquiries.
    • Schedule meetings and appointments.
    • Greet and assist visitors.
    • Maintain filing systems.
    • Sort and distribute mail and packages.
    • Manage Sitetracker licenses for SEU.
  • Document Preparation
    • Draft and edit correspondence and reports.
    • Maintain spreadsheets, presentations, and databases.
    • Prepare meeting minutes and documentation.
  • Supply Management
    • Manage company shirt orders.
    • Monitor and order office supplies.
    • Maintain office organization and coordinate with cleaning staff.
  • Office Operations
    • Oversee office equipment (copiers, printers, etc.).
    • Coordinate office activities, events, and travel arrangements.
    • Handle building-related requests (parking, validations).
  • Financial Assistance
    • Process invoices and expense reports.
    • Assist with basic bookkeeping tasks.
  • Communication and Coordination
    • Assist with internal/external communications.
    • Coordinate between staff, departments, and external partners.
  • Support to Senior Staff
    • Provide administrative support to executives.
    • Prepare agendas and documents.
    • Handle sensitive information with discretion.
  • Data Entry and Maintenance
    • Input and maintain data accuracy in systems.
  • Special Projects
    • Assist with research and special assignments.
    • Help plan events and large group arrangements.
  • Subcontractor Onboarding
    • Assess qualifications and licenses.
    • Manage contracts, insurance, and compliance.
    • Maintain up-to-date records of subcontractors.
Desired Skills & Qualifications:
  • Previous experience in the telecom, utility, construction, and/or engineering industry.
  • At minimum 3 years’ experience in a similar role.
  • Excellent communication skills.
  • Time Management scheduling meetings and appointments.
  • Prior event planning including travel.
  • Strong problem-solving skills.
