Job Summary: Fleet Administrator manages day-to-day administrative tasks, assists with management of parts inventory, reporting of efficiencies and the current state of equipment/vehicles within their market. Creation of and management for “Issues” created in Fleetio via DVIR field process. This individual must have experience with computer processes and the ability to learn new systems on computers. Experience with DOT/FMCSA and compliance is preferred. Knowledge of vehicle registration and DMV process is preferred. Must have a positive attitude and be willing to quickly adapt to an ever-changing work environment in a safe and effective manner.
Job Responsibilities (including, but not limited to):
Manage parts inventory and related parts pricing, working diligently to maximize best parts pricing and ensure proper availability for in-shop technicians.
Assist technician parts ordering to maximize shop efficiency
Manage the Fleetio database entering outsourced: workorders, invoices, receiving parts requesting purchase for all outsourced work and inputting all repair records accurately and efficiently
Performs daily review of the previous day's work orders they have created, to ensure workorder process is being completed properly
Maximize in-house shop technicians for repair using outsourced vendors as minimally as possible
Work with fleet manager/shop foreman/lead-technician to manage workorder schedules based on market priorities
Approve technician timecards in the absence of the fleet manager
Coordinate transportation of vehicles and equipment for general repair needs
Assist Fleet Manger with management and reporting on rental equipment and rental process within Fleetio
Assist with verification of internal availability of requested rental asset prior to setting up rental
Assist with coordination of rental with vendor assuring the rental asset information with a rental return date is loaded into Fleetio for tracking.
Assist with rental returns assuring rental status is changed and rental asset is archived in Fleetio.
Assist with managing Milwaukee tool inventory program.
Ensuring safety is a primary focus in all aspects of day-to-day business situations.
Manage all: title, registration and permitting requirements for fleet equipment within their market
Manage Fleetio inputs and updates from purchase to disposal of equipment/tools
Work with field personnel to educate and ensure DVIR and Pre-flight inspections are consistently completed
Overtime may be required during peak production times
Represent Congruex in a professional manner, maintaining confidentiality and professionalism as a company leader.
Required Skills:
Basic computer skills, knowledge of fleet management platforms, word and Excel.
Ability to solve problems and troubleshoot issues.
Ability to effectively communicate with, establish and maintain effective working relationships and communication with employees, vendors, equipment representatives, Operations Manager, and the Regional Fleet Director, and all other managers.
Ability to walk a fleet yard/shop and maintain inventory and order within the area available
Desired Skills:
Knowledge of vehicle registration and DMV process is preferred.
Experience with Fleetio
Experience with DOT/FMCSA and compliance is preferred
