Your New Job

Job Summary:
The Payroll Assistant takes on foundational tasks related to payroll processing, data entry, and administrative support under the supervision of more experienced payroll staff or PS personnel. These duties are essential for ensuring that employees are paid accurately and on time, while also helping maintain proper payroll records. Responsibilities include:
1. Assist with Payroll Processing
  • Data Entry: Input hours worked, employee details, pay rates, and deductions into the payroll system. This could involve entering information from timesheets, timecards, or online tracking systems used by field and office staff.
  • Verify Payroll Data: Ensure the accuracy of the data being entered, such as confirming that the hours worked, overtime, and any bonuses are correctly reflected.
  • Timesheet Management: Assist with collecting, reviewing, and organizing timesheets from employees working on construction sites or in office roles. Ensure they are submitted on time and are properly filled out.
2. Track and Process Payroll Deductions
  • Benefits and Withholdings: Help track employee deductions for benefits like health insurance, retirement savings, and tax withholdings. Ensure that the correct amounts are deducted according to employee elections and company policies.
  • Expense Reimbursement: Process expense reports for employees, ensuring that expenses incurred on the job are reimbursed, such as travel or materials costs for field workers.
3. Assist with Payroll Reporting
  • Generate Reports: Help create and review payroll reports (e.g., payroll summaries, deductions, taxes, etc.) that are used by management and finance teams to ensure payroll is processed correctly.
  • Tax Forms: Assist in preparing necessary forms for tax reporting purposes, including W-2s, 1099s, or other employee documentation that is required at the end of the year.
4. Maintain Payroll Records
  • Record Keeping: Organize and maintain accurate and up-to-date payroll files for employees, contractors, and union workers. Ensure that these records are complete, error-free, and stored securely.
  • Employee Records: Ensure that any changes in employee status (e.g., promotions, pay rate changes, terminations) are recorded correctly in the payroll system.
5. Assist with Employee Inquiries
  • Respond to Queries: Answer basic payroll-related questions from employees regarding their pay, deductions, benefits, or time off. This may involve clarifying how overtime is calculated or addressing discrepancies.
  • Assist with Pay Issues: Help identify and resolve minor payroll discrepancies, working with other team members if needed to ensure issues are addressed.
6. Payroll Software Support
  • System Entry and Updates: Learn to navigate and use the payroll software/system effectively. Entry-level assistants may help with basic updates or troubleshooting or assist in the migration of data to new systems when necessary.
  • Assist with Data Transfers: Help ensure that payroll data is correctly imported or exported between systems (e.g., from timekeeping software to payroll system).
7. Time-off and Leave Management
  • Track Leave: Assist in tracking employee paid time off (PTO), sick leave, vacation time, and other types of leave. Ensure this information is accurately recorded and reflected in the payroll system.
  • Leave Requests: Help process employee requests for time off, ensuring they are logged and communicated properly to the relevant departments.
8. General Administrative Support
  • Filing and Documentation: Organize payroll documents and files, ensuring that physical and electronic records are properly stored and easily accessible.
  • Team Support: Provide general administrative support to senior payroll staff or HR departments, helping with any other ad-hoc tasks as required.
In summary, the Payroll Assistant performs tasks that are vital for the smooth processing of payroll, but with less complexity compared to more senior payroll roles. The focus is on learning the processes, ensuring accuracy, and supporting other team members in managing payroll for a large and diverse workforce. Over time, as they gain experience, they may take on more advanced responsibilities in payroll processing and compliance.
