About the Position
The Quality & Logistics Coordinator plays a critical role in ensuring Astec delivers high‑quality products to customers on time and with exceptional accuracy. This position blends quality assurance, logistics coordination, and import/export responsibilities. The role leads root‑cause investigations, oversees inspection processes, manages domestic and international shipments, and ensures compliance with internal standards and global shipping requirements. Success in this role requires strong analytical skills, excellent communication, and the ability to collaborate across departments and with external partners.
Key Deliverables
Quality Assurance & Process Control
- Lead root‑cause investigations using 7 QC tools and statistical methods; define and implement corrective and preventive actions.
- Inspect manufactured and purchased products to verify compliance with quality standards, including:
- Confirming barcodes, part numbers, quantities, and required documentation.
- Performing visual inspections for defects, cleanliness, and packaging integrity.
- Ensuring shipping labels accurately reflect sales order information.
- Halt shipment of nonconforming products and coordinate resolution with warehouse leadership.
- Maintain accurate inspection logs and deliver daily inspection reports to relevant departments.
- Certify manufactured products meet specifications through testing, data review, and inspection.
- Conduct random sampling of purchased products and collaborate with suppliers to uphold incoming quality requirements.
- Update and refine quality procedures; provide recommendations to the Quality Assurance Manager.
- Manage quality assurance records, including data entry, document control, and reject‑notice database maintenance.
Logistics & Transportation Coordination
- Coordinate all inbound and outbound freight operations, including truckload, LTL, parcel, and oversized shipments.
- Serve as the primary logistics communication link for sales, customers, the parts department, the shop foreman, and suppliers.
- Work cross‑functionally to integrate logistics activities with order management, accounting, and shipping systems.
- Troubleshoot and resolve logistics issues such as damaged goods, RGAs, customer concerns, and transit delays.
- Train shipping personnel on proper receiving procedures, loose‑load handling, and LTL/truckload requirements.
- Collaborate with the Astec Logistics team to streamline freight processes and improve operational efficiency.
- Develop, implement, and maintain processes that support consistent on time delivery performance.
Import/Export Coordination
- Coordinate and monitor international shipments, ensuring accurate processing and on‑time delivery.
- Serve as the communication hub between Astec regional offices, factory sales representatives, shipping teams, and freight forwarders.
- Manage and prioritize pick lists to support efficient packing and shipment preparation.
- Prepare, review, and process all required export documentation for international sales orders.
- Organize, archive, and maintain export documents, shipment photos, and related records for compliance and traceability.
- Calculate shipment weight, volume, duties, tariffs, and currency conversions for international orders.
- Review bills of lading, shipping statements, and invoices to ensure accuracy and completeness.
- Stay current on international shipping regulations, documentation standards, and compliance requirements.
Qualifications & Competencies
- High school diploma required; an associate or bachelor’s degree in logistics, business, or a related field preferred.
- Minimum of 1 year of experience in transportation, logistics, or international shipping.
- Prior experience in quality assurance or manufacturing environments strongly preferred.
- Strong English communication skills; bilingual abilities in Spanish or Portuguese are a plus.
- Demonstrated analytical, organizational, and time‑management strengths.
- Self‑motivated and able to work independently while exercising sound judgment.
- Proficient in Microsoft Office (Word, Excel, Outlook, Access); advanced proficiency preferred.
- Familiarity with ERP systems, material handling practices, and open‑deck trailer loading.
- Solid understanding of LTL, truckload, oversized freight, and international shipping processes.
- Ability to operate standard office equipment and manage documentation with accuracy and attention to detail.
- Strong interpersonal skills with the ability to collaborate effectively across departments and with external partners.
