Legal Administrative Coordinator (The Calm in the Chaos)

Our growing legal team is searching for a Legal Administrative Coordinator who can juggle deadlines, manage details, and bring a sense of order to a fast-paced environment. Key Responsibilities:

        Manage and maintain attorney calendars in accordance with internal Calendar Management Best Practices.

        Coordinate attorney communications with clients, courts, and opposing counsel, including scheduling hearings, settlement discussions, and other case-related meetings to ensure timely and professional engagement.

        Proactively monitor and adjust scheduling to maintain optimal calendar coverage.

        Serve as the primary point of contact for attorney availability, scheduling updates, and integration of meetings across teams.

        Oversee the intake and routing of all incoming and outgoing correspondence (fax, email, phone, and postal mail), ensuring timely and accurate distribution across departments.

        Review and verify incoming documentation for accuracy and completeness; input and confirm relevant data within the company's CRM system.

        Handle sensitive and high-level client communications with professionalism, discretion, and a solutions-focused approach.

        Conduct client outreach to provide status updates on litigated matters and ensure ongoing engagement.

        Promote interdepartmental collaboration by facilitating efficient communication and coordination of tasks between legal, operations, and support functions.

        Confirm court receipt and acceptance of filings via email or phone, update the CRM accordingly, and relay status updates to key stakeholders.

        Collaborate with Case Managers and Coordinators to ensure all filing requirements are fulfilled prior to attorney review or involvement.

        Attend company meetings and events.

        All other duties as assigned.

Minimum Qualifications:

        High school diploma or GED required.

        Minimum of 2 years of experience as a Legal Assistant or in a similar legal administrative role.

        Proficiency with Microsoft Office (Word, Excel, Outlook) and familiarity with case management or CRM systems.

        Demonstrated ability to manage multiple calendars, coordinate scheduling across teams, and handle correspondence efficiently.

        Strong written and verbal communication, with the ability to interact professionally with clients, attorneys, courts, and internal stakeholders.

        Exceptional accuracy in reviewing documentation, inputting data, and ensuring compliance with organizational standards and Best Practices.

        Ability to prioritize workload, manage deadlines, and maintain accurate records in a fast-paced, high-volume environment.

        Experience handling sensitive client information and confidential legal matters with integrity and discretion.

        Proactive, solutions-oriented, and able to work collaboratively across multiple departments to support attorneys and legal operations.

Preferred Qualifications:

        Associate’s degree in paralegal studies, Business Management, or a related field.

        Experience using Salesforce.

        Prior experience in litigation support or high-volume legal operations, with familiarity managing attorney calendars, court filings, and legal correspondence.

        Understanding of internal Calendar Management Best Practices, filing procedures, and administrative workflows in a legal setting.

        Strong professional written and verbal communication skills, with experience interacting with attorneys, clients, and courts.

        Proven ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.

        Demonstrated ability to anticipate challenges, escalate issues appropriately, and implement efficient solutions.

        Ability to work cross-functionally, support team members proactively, and contribute to process improvements.

Pay Range: $19.00 per hour, approximately $39,520 per year based on a 40-hour work week.

 

Physical, Environmental, and Remote Work Requirements

        Prolonged periods of sitting and frequent computer use.

        Ability to manage multiple tasks simultaneously.

        Fully remote position: employees are expected to work from their designated work location (typically their address on file) during business hours. Any work from an alternate location must be approved in advance by the department Director.

        Employees are expected to be fully present and accountable, maintaining productivity and responsiveness through approved communication channels and tools, and focusing on work-related responsibilities during business hours.
